Our law firm client is seeking a Client Intake and Conflicts Specialist. Under the direction of the Conflicts and New Business Intake Manager, the Client Intake and Conflicts Specialist is responsible for conducting conflict of interest searches and maintaining accurate client and matter information within the firm’s time and billing systems. This role works closely with attorneys, staff, and clients, ensuring strict confidentiality while supporting the firm’s intake and conflicts processes in accordance with established policies and procedures.
Essential Duties and Responsibilities- Perform conflict of interest searches for new business intake requests and potential lateral hire candidates
- Analyze conflict search results and provide clear, timely feedback to attorneys
- Maintain accurate and current client and matter information in the firm’s billing and conflicts systems
- Set up and manage matter numbers for client matters, business development, shareholder business expenses, and administrative work spaces
- Assist with day-to-day operations of the Conflicts Department, including administrative tasks to ensure database integrity
- Communicate professionally with attorneys, staff, and clients while providing courteous and accurate support
- Respond to intake and conflicts inquiries from attorneys and secretaries
- Coordinate with the Records Department regarding matter openings, closures, transfers, and destruction
- Routinely close matters based on e-billing alerts and inactive status notifications
- Maintain strict confidentiality of all firm and client information
- Assist with special projects and additional duties as assigned
- Strong collaboration skills and a cooperative, team-oriented mindset
- Excellent communication skills with the ability to interact effectively with attorneys, staff, and clients
- High attention to detail with strong organizational and time-management abilities
- Ability to multi-task, prioritize, and work efficiently in a fast-paced, evolving environment
- Proactive approach with the ability to anticipate needs and follow through with minimal supervision
- Proficiency in Microsoft Office (Outlook, Excel, Word)
- Experience with Elite 3E and Intapp Open (or equivalent conflicts/accounting systems) required
- Bachelor’s degree preferred, or an equivalent combination of education and experience
- 3–5 years of hands-on experience processing new business intake and/or conflicts of interest in a law firm environment
