About the Role
The Preboarding Specialist plays a critical role in ensuring incoming real estate agents are prepared, committed, and positioned for long-term success before their first day. Our agents are critical to New Western’s success, and this high impact role owns the preboarding experience from offer acceptance through start date, guiding candidates through licensing requirements while also evaluating readiness, engagement, and alignment.
In addition to supporting licensing and logistics, the Preboarding Specialist serves as an early readiness filter by identifying behavioral signals, motivation levels, and potential risk factors throughout the Preboarding process. This role helps protect downstream productivity by ensuring only well-prepared and committed candidates advance into onboarding and the field.
This position is ideal for someone who enjoys working closely with candidates, evaluating talent, and operating in a fast-paced, high-volume environment where attention to detail and decision-making both matter.

Key Responsibilities- Own and manage the preboarding experience from offer acceptance through start date
- Guide candidates through the real estate licensing process by providing accurate, timely, and state-specific information
- Support a high-volume candidate pipeline while maintaining clear organization, follow-through, and responsiveness
- Monitor candidate engagement and preparedness throughout preboarding, including completion of required steps and learning activities
- Identify and elevate potential readiness concerns related to commitment, communication, or alignment
- Maintain consistent, two-way communication with General Managers regarding candidate status and progress
- Accurately document candidate activity, notes, and assessments within Lever and HR systems
- Partner closely with Learning & Development, Recruiting, and HR to refine preboarding processes and standards
- Ensure consistency, accuracy, and compliance across all preboarding activities
- 1–3+ years of experience in recruiting, HR operations, interviewing, learning & development, or a related candidate- or customer-facing role
- Strong communication skills with the ability to explain expectations, processes, and next steps clearly
- High attention to detail and strong follow-through in a fast-moving environment
- Comfort managing a large pipeline with multiple priorities and deadlines
- Ability to observe behavioral signals and identify potential risks early
- Tech-savvy and comfortable working within Lever, Cornerstone LMS, and workflow tracking tools
- Professional judgment, discretion, and consistency in decision-making
- Collaborative mindset and ability to work effectively across teams
- High School Diploma or equivalent
- Bachelor's Degree preferred
