Overview
This full‑time position is Monday‑Friday 8:30 am–5 pm or 9 am–5:30 pm, with no weekends, call, or major holidays. It can be Level 1, 2, or Sr based on experience.
The US Oncology Network is looking for a Scheduler to join the team at Texas Oncology in the Dallas Medical City location in the Oncology BMT department.

Under direct supervision, the Scheduler is responsible for scheduling patient appointments and tests efficiently and timely. The role involves answering all incoming calls, directing callers to the appropriate personnel, serving as a liaison between patients and medical staff, and possibly handling outside or surgical scheduling responsibilities. The Scheduler must also support and adhere to the US Oncology Compliance Program, including the Code of Ethics and Business Standards.
Responsibilities- Answer all incoming calls, assess caller needs, direct calls, and page clinic personnel as appropriate, obtaining and communicating messages accurately and in a timely manner.
- Schedule new patients, referrals, and returning patients in the computer system according to physician and office guidelines, setting up documentation and coding as required, and cancel/reschedule appointments with physician schedule changes while notifying appropriate clinic personnel.
- Obtain and enter all insurance authorizations and referral correspondence into patients’ charts or electronic medical records (EMR).
- Collect co‑pays, deductibles, and other out‑of‑pocket amounts at time of visit.
- Maintain the primary office scheduling template containing physician meetings, satellite schedules, rounding, and call coverage.
- Arrange for patients to have financial counseling as needed.
- Demonstrate an understanding of patient confidentiality to protect the patient and clinic/practice.
- Follow policies and procedures to contribute to the efficiency of the front office, covering other front office functions as requested.
- Prepare correspondence, memos, forms, and other typing tasks as requested by supervisor.
- May schedule outpatient appointments/testing/surgeries and hospital admissions upon request, obtaining necessary pre‑certification as required.
- May communicate to patients about surgeries or tests being scheduled, addressing preparation requirements, and gathering necessary patient information.
- May follow up on all pre‑operative tests to ensure clearance for surgical procedures and communicate with physicians and patients if further testing is needed before surgery.
- May schedule post‑operative follow‑up appointments with physicians.
- Where applicable, possess a basic understanding of medical terminology for tests and surgical procedures, including coding and ability to look up codes specific to diagnosis, surgery, and scheduling procedures.
- High school diploma or equivalent required.
- Entry‑level position with 0–3 years’ experience preferable in a medical office setting.
- Knowledge of medical terminology, scheduling, and/or authorization experience preferred.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office (Outlook, Word, Excel) required.
- Minimum three years of office experience, preferably in a medical office setting.
- Minimum five years of office experience, preferably in a medical office setting.
- Knowledge of medical terminology and coding required.

Vision must be correctable to 20/20 and hearing must be normal for telephone contacts. Prolonged computer screen viewing is necessary.
