Scheduler II – Dallas Medical City – Texas Oncology

Texas Oncology is part of the US Oncology Network, dedicated to delivering high‑quality, evidence‑based cancer care to patients across Texas.

Overview

This is a full‑time position (Monday‑Friday). Shifts are 8:30am‑5pm or 9am‑5:30pm, with no weekend, call or major holiday coverage. The role can be Level 1, Level 2 or Level Sr depending on candidate experience.

What does the Scheduler do?

Under direct supervision, you will schedule patient appointments and tests efficiently and timely. You will answer all calls, direct them to appropriate personnel, act as a liaison between patients and medical staff, and may handle outside or surgical scheduling responsibilities. You will also support and adhere to the US Oncology Compliance Program, including the Code of Ethics and Business Standards.

Responsibilities
  • Answer all incoming calls; assess callers’ needs and direct to appropriate personnel, page clinic personnel as necessary, and communicate messages accurately and promptly.
  • Schedule new patients, referrals, and returning patients in the computer system per physician and office guidelines; set up new or referred patients with appropriate documentation and coding; cancel or reschedule appointments as physician schedules change, notifying clinic personnel.
  • Obtain and enter all insurance authorizations and referral correspondence into patient charts or electronic medical records (EMR).
  • Collect co‑pays, deductibles, and other out‑of‑pocket amounts at the time of visit.
  • Maintain the primary office scheduling template, which includes physician meetings, satellite schedules, rounding, and call coverage.
  • Arrange for patients to receive financial counseling as needed.
  • Demonstrate an understanding of patient confidentiality to protect patients and the clinic/practice.
  • Follow policies and procedures to improve front‑office efficiency; cover other front‑office functions as requested.
  • Prepare correspondence, memos, forms, and other typing as directed by the supervisor.
  • May schedule outpatient appointments, testing, surgeries, and hospital admissions upon request; obtain necessary pre‑certification as required.
  • Communicate with patients about scheduled surgeries or tests, potential preparation work, and gather relevant information from necessary parties.
  • May be responsible for follow‑up on pre‑operative tests to ensure patients are cleared for surgery, communicating with physicians and patients if additional testing is needed.
  • May schedule post‑operative follow‑up appointments with physicians.
  • Where applicable, demonstrate basic understanding of medical terminology for tests and surgical procedures, including coding and lookup of specific diagnosis, surgery, and scheduling codes.
Qualifications

Level 1

  • High school diploma or equivalent required.
  • Entry‑level position; 0‑3 years of experience preferred in a medical office setting.
  • Knowledge of medical terminology, scheduling, and/or authorization experience preferred.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office (Outlook, Word, Excel) required.

Level 2 (in addition to Level 1 requirements)

  • Minimum three years of office experience, preferably in a medical office setting.

Level Sr (in addition to Levels 1 and 2 requirements)

  • Minimum five years of office experience, preferably in a medical office setting.
  • Knowledge of medical terminology and coding required.
Physical Demands

Work may require sitting for long periods of time; also stooping, bending and stretching for files and supplies. Occasionally lifting files or paper weighing up to 30 pounds.

Requires manual dexterity sufficient to operate a keyboard, calculator, telephone, copier and other office equipment. Vision must be correctable to 20/20 and hearing must be in the normal range for telephone contacts. It is necessary to view and type on computer screens for prolonged periods of time.
