Job Description - Graduate Medical Education Program Coordinator I, OBGYN (910365)
Job SummaryThe OBGYN Department is hiring a full time Graduate Medical Education Program Coordinator I. The coordinator will support 1-2 fellowship programs and serves as a liaison between the program directors and internal and external offices and individuals. This position is responsible for the full range of administrative activities for the program directors and associated trainees, including trainee recruitment, onboarding, graduating, producing weekly/monthly reports, program evaluation, and coordinating lectures and meetings.
The role ensures the program is compliant with the rules and regulations of governing bodies and systems such as the American Board of Ob/Gyn (ABOG), Accreditation Council for Graduate Medical Education (ACGME), Electronic Residency Application Service (ERAS), and Med Hub, among others.
The ideal candidate can multitask, has strong organizational skills, excellent oral and written communication, and the ability to set priorities and meet strict deadlines.

Associate's Degree in business administration, healthcare administration, or related field. (four years of administrative experience or 60 semester hours of college credit may substitute for an Associate's Degree) - Experience
3 years related experience required (Bachelor's degree may substitute for required experience); may be required to submit to a federal background investigation.

Preferred candidates will be proficient in Microsoft Office, People Soft, and Med Hub or other RMS, and familiar with ACGME, TMB, and NRMP policies and procedures.
- Serve as the lead administrative person for the GME residency/fellowship program.
- Manage the daily operations and activities of the GME residency/fellowship program(s).
- Function as an important liaison with learners, faculty and staff, and the ACGME.
- Assist the GME Program Director and other GME Coordinators/Administrators in the design, implementation and management of administrative/academic operations.
- Coordinate educational activities (e.g., didactic conference schedule, Grand Rounds) that support the program's curriculum and adhere to ACGME requirements.
- Provide guidance to residents/fellows on program and GME policies, and non-clinical aspects of the program.
- Design, deliver, and report timely completion of resident/fellow, faculty, and program evaluations through the Residency Management System (RMS).
- Coordinate accreditation activities including ACGME Site Visits, Self Studies, Internal Reviews, annual program reviews, etc.
- Assist the Program Director by monitoring and reporting Resident Wellness outcomes to ensure compliance.
- Develop understanding of ACGME policies and procedures, including familiarity with the Common Program Requirements and Specialty-Specific requirements.
- Ensure GME and departmental and program policies and procedures are communicated/available to the GME Program Director, faculty, residents/fellows, and staff.
- Coordinate resident/fellow recruitment and selection processes.
- Assist the PD and faculty in planning program quality improvement projects.
- Prepare Program Letters of Agreement with participating institutions and training sites and ensure agreements are revised as needed.
- Track, document, and report on educational activities to meet board certification and program accreditation requirements and comply with GME policies.
- Utilize systems and reporting to inform the GME Program Director of program compliance with organizations such as ACGME, AMA, NRMP, and other related organizations.
- Use RMS to record and report on all aspects of the resident's/fellow's training experiences, including demographics, scholarly activity, evaluations, schedules, and duty hours.
- Maintain working relationships with the Office of GME to remain compliant with requirements for residents/fellows, visiting residents, and faculty.
- Coordinate, organize, and schedule GME program events including recruitment, orientation, graduation, retreats, conferences and other meetings. Prepare and distribute materials for conferences and lectures.
- Perform other duties as assigned.
