Overview

This is a full‑time position, Monday‑Friday, 8:30 am–5:00 pm or 9:00 am–5:30 pm, with no weekends, on‑call, or major holidays. The role can be level 1, 2, or senior based on applicant experience.

Responsibilities
  • Answer all incoming calls; assess callers’ needs and direct to appropriate personnel and pages clinic personnel as appropriate; obtain and communicate messages accurately and promptly.
  • Schedule new patients, referrals, and returning patients in the computer system per physician and office guidelines; set up new or referred patients in the system with proper documentation and coding; cancel or reschedule appointments due to physician schedule changes and notify appropriate clinic personnel.
  • Enter insurance authorizations and correspondence related to referrals in patients’ charts and/or electronic medical records (EMR).
  • Collect copays, deductibles, and other out‑of‑pocket amounts at time of visit.
  • Maintain the primary office scheduling template, including physician meetings, satellite schedule, rounding, and call coverage.
  • Arrange for patients to receive financial counseling as needed.
  • Demonstrate understanding of patient confidentiality and protect patient and clinic/practice information.
  • Follow policies and procedures to contribute to front‑office efficiency; cover other front‑office functions upon request.
  • Prepare correspondence, memos, forms, and other typing as requested by supervisor.
  • Schedule outpatient appointments, testing, surgeries, and hospital admissions upon request; obtain necessary pre‑certification as required.
  • Communicate with patients about scheduled surgeries or tests and potential preparation needs; acquire test specifics from relevant parties and gather patient information as needed.
  • Follow up on pre‑operative tests to ensure clearance for surgical procedures; communicate with physicians and patients if further testing is needed before surgery.
  • Schedule post‑operative follow‑up appointments with physicians.
  • Apply basic knowledge of medical terminology, coding, and the ability to look up codes specific to diagnosis, surgery, and scheduling procedures.
Qualifications Level 1
  • High school diploma or equivalent.
  • 0–3 years of experience in a medical office setting (entry‑level).
  • Knowledge of medical terminology, scheduling, and/or authorization experience preferred.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office (Outlook, Word, Excel).
Level 2 (in addition to Level 1 requirements)
  • Minimum 3 years' office experience, preferably in a medical office setting.
Senior (Level Sr, in addition to Level 1 and 2 requirements)
  • Minimum 5 years' office experience, preferably in a medical office setting.
  • Knowledge of medical terminology and coding required.
Physical Demands

Work may require sitting for long periods; stooping, bending, and stretching for files and supplies; occasionally lifting up to 30 lb. Requires manual dexterity to operate a keyboard, calculator, telephone, copier, and other office equipment. Vision must be correctable to 20/20 and hearing normal for telephone contact. Prolonged computer use is required.
