Description
The Artistic Operations & Production Coordinator plays a central role in ensuring seamless logistics and hospitality for Pops and Dallas Symphony Presents (DSP) guest artists, conductors, and visiting composers at the Dallas Symphony Orchestra (DSO). This position manages travel, accommodations, itineraries, visas, production communication, and contracted servicing details while collaborating closely with the Artistic Operations team, Development team, production team, vendors, and guest artists to support concerts and special events.
This role serves as a primary point of contact for Pops and DSP artists during their time in Dallas, along with occasional Classical artists as assigned, and combines high‑level coordination, strong communication, and hands‑on support to deliver a smooth and professional experience from arrival through departure.
- Plan and follow through with the implementation of all servicing and hospitality details for all Pops and DSP guest artists at the DSO, ensuring a smooth and successful operational outcome for all rehearsals and concerts during the artist’s engagement in Dallas.
- Work collaboratively with the Director of Orchestra Operations, Pops Programming, Director of Artistic & Chorus Administration, and Artistic Operations & Touring Coordinator to ensure that all logistics and servicing requirements for all guest artists are accurate and provided in a timely manner, in compliance with guest artists’ contracts.
- Petition for guest artist and conductor visas, as assigned.
- Facilitate concert production communication and advance work with visiting artists, production teams, and vendors.
- Create and publish the annual orchestra handbook.
- Book travel, hotel and ground transportation, and prepare itineraries for all guest artists and guest conductors involved with Pops and DSPs, and process finance payments for those artists.
- Book travel, hotel and ground transportation, and prepare itineraries for all visiting guest composers. Coordinate any events or workshops for composers while in Dallas with the rest of the team.
- Work collaboratively with the DSO Development team for any guest artist requests to attend donor or board events. Manage the overall schedule for all guest artists involved with development events each season and ensure that the details are clearly communicated to the person creating the itinerary for the artist or detailed clearly on the itinerary if a Pops or DSP artist and being created by the Artistic Operations & Production Coordinator directly.
Duty
- Attend scheduled concerts assigned, to include at least one classical concert, or Pops concert, or DSP concert, or DSO On the Go, or Organ Recital, or Christmas Holiday concert, or Parks concert as needed per week.
- Other Artistic Operations duties as assigned by the Director of Orchestra Operations and Pops Programming or by the Chief Artistic Officer.
- Provide ground transportation for guest artists to press events, lunches, special events, run‑outs and to and from rehearsal, as required.
- Bachelor’s degree required.
- The ideal candidate will be a professional and personable communicator who can confidently engage with artists for extended periods of time.
- Experience in concert production with a professional orchestra, concert band, or opera company.
- Knowledge of Pops and Classical symphonic repertoire and performers.
- Knowledge of visa requirements and the application process.
- Evening or weekend hours will be required.
- Reliable transportation and a consistently professional appearance and demeanor are required.
- Ability to lift guest artist’s baggage/suitcase into or from car trunk.
- Experience in using OPAS.
- Experience in Microsoft Office Suite.
