Job Description

General Summary of the Position

St. Thomas Aquinas Catholic School is looking for a part‑time Registrar to play an essential role in caring for the academic journey of every student at our school. Working in the Admissions, Communications and Advancement office, this position thoughtfully maintains student records and transcripts. This role manages transcripts, maintains student and family records, oversees enrollment data accuracy, and fulfills diocesan and reporting requirements.

Through careful attention to detail and a commitment to confidentiality, the Registrar ensures that our school remains organized, accountable, and responsive to families. This role quietly supports the mission of the school by safeguarding the integrity of student records and helping our community operate with clarity and trust.

Position Requirements

Essential Duties and Responsibilities:

  • Maintain accurate student and family records within FACTS SIS
  • Manage student status changes, withdrawals, and cumulative files
  • Process transcript and report card requests
  • Coordinate 8th‑grade transcript submissions to high schools
  • Work with families and the Admissions Director for re‑enrollment
  • Prepare diocesan and compliance reports
  • Execute end‑of‑year archiving and record rollover procedures
  • Maintain records retention in accordance with legal and diocesan guidelines
  • Work with Advancement, Communications and Admissions for projects and events throughout the year.

Knowledge, Skills, and Abilities:

  • Strong organizational and data management skills
  • Exceptional attention to detail
  • Ability to maintain strict confidentiality
  • Proficiency in Microsoft Office Suite (Word, Excel, etc.)
  • Commitment to the mission of Catholic education

Education and Experience:

Degree Preferred/Not required

Position Details:

  • 20 hours per week
  • 10‑month position (August – May)
  • Non‑exempt hourly
  • Reports to Director of Advancement
