MERCHANDISING & DESIGN ASSISTANT

Role Overview

Dallas-based role for a highly organized, detail-oriented creative with strong communication skills who thrives in a fast-paced fashion environment. Acts as an organizational anchor and thinking partner while enabling fast, front-line decision-making with external design and buying teams for core retail partner QVC.

Design & Product Development
  • Research trends, materials, trims, and competitive landscape.
  • Create and organize mood boards, sketches, and design concepts.
  • Assist in the design and development of new clothing and accessories styles.
  • Prepare the full line for showroom and buyer presentations, including steaming, ensuring all samples are accounted for and properly displayed.
  • Review and organize designer notes, ensuring accurate product details and talking points.
  • Support showroom setup and presentation flow to ensure a polished, brand-aligned experience for buyers.
  • Support on‑air preparation including working with producers to ensure on‑air product is presented correctly, drafting design points / scripts and preparing all items for shows.
Development Calendars & Scheduling
  • Manage a full service calendar from concept to delivery of final product.
  • Manage timelines and deadlines to keep all projects on schedule.
  • Own master calendars (design milestones, fittings, sample arrivals, shoots, reviews).
  • Ensure Founder / Creative Director availability is aligned for key decision points and approvals.
  • Maintain organized inventory of design materials, samples, and prototypes.
  • Coordinate and manage all fittings (scheduling, prep, on‑set support, note capture, follow‑ups).
  • Work directly with the Founder / Creative Director and internal team to prepare all samples and outfits for photoshoots.
Meetings, Notes & Action Tracking
  • Attend relevant meetings; take detailed notes, capture decisions, and track action items to closure.
  • Provide administrative support for design-related tasks, including scheduling and project tracking.
Communications & Decision Flow
  • Serve as an organized “first-pass” filter and sounding board—without becoming a bottleneck.
  • Keep Founder / Creative Director up-to-date across departments in a timely, concise format.
  • Ensure Founder / Creative Director has access to all requests, material, needs and deadlines in order to make rapid, front-line decisions (avoid middle‑man delays).
  • Manage all correspondence with suppliers to source materials and samples.
  • Track requests, shipments, and status; elevate delays and flag risks early.
Organization & Operations
  • Systematize files, boards, and trackers for easy retrieval and cross-team visibility.
  • Build systems / checklists for fittings, sample intake, photoshoot prep, and vendor requests.
Qualifications
  • Minimum 5-7 years of relevant merchandising and/or design experience.
  • Meticulous note‑taker; proactive, solutions‑oriented; calm under tight timelines.
  • Passion for fashion and design, with a strong eye for color, texture, and detail.
  • Proficiency in design software (e.g., Adobe Illustrator, Photoshop).
  • Excellent organizational and multitasking skills.
  • Strong verbal and written communication skills.
  • Ability to work collaboratively and take direction while also being proactive and self‑motivated.
  • Availability to travel domestically (10-15 trips per year of 3-5 days).
