Senior Construction Operations Coordinator

(Project Controls, Purchasing Support & Office Operations)

Role Overview

We are a growing construction company. We are seeking a
Senior Construction Operations Coordinator
to support
commercial and residential projects
from pre-construction through execution.

This role combines
project coordination, material and purchasing support, office operations, and light estimating support
. The right candidate understands how construction actually works — can read plans, anticipate issues, coordinate materials, and keep projects moving without constant direction.

This is
not a Project Manager role
and
not an administrative assistant position
.

It is a
senior operations role
that exists to prevent delays, control material flow, and support accurate execution.

Core Responsibilities Project Coordination & Scheduling
  • Review all active commercial and residential projects on an ongoing basis
  • Maintain and update project schedules and milestone trackers
  • Track permits, inspections, utilities, and approvals
  • Identify next steps and constraints before they impact schedule or cost
  • Coordinate with Project Managers, field teams, and leadership
  • Review architectural, structural, and MEP drawings
  • Identify scope gaps, conflicts, and constructability issues
  • Support pre-construction planning and readiness
  • Communicate questions and clarifications to architects, engineers, and clients
  • Assist in preparing pre-construction schedules and task lists
  • Perform quantity takeoffs for materials and basic labor scopes
  • Assist with budget development and estimate validation
  • Support pricing for small scopes and
    change orders
  • Coordinate takeoffs with purchasing to ensure quantities align with procurement
Purchasing & Material Coordination
  • Support material ordering based on approved scopes and schedules
  • Track material release cut-off dates tied to project schedules
  • Coordinate with suppliers and vendors to confirm orders and delivery dates
  • Track long-lead and critical materials
  • Flag material risks early and propose mitigation options
Office Operations & Documentation
  • Maintain organized, version-controlled project records
  • Support contracts, submittals, RFIs, and closeout documentation
  • Assist leadership with reporting, tracking, and coordination
  • Ensure clean handoffs between estimating, procurement, and execution
What This Role Is NOT
  • Not sales or business development
  • Not managing field crews day-to-day
  • Not purely administrative

Required Experience & Qualifications Experience
  • 7+ years
    in construction operations, coordination, estimating, or project controls
  • Experience with
    both commercial and residential construction
  • Proven ability to read and interpret construction drawings and specifications
  • Experience supporting estimating, takeoffs, and change orders
Technical Skills
  • Strong understanding of construction sequencing and inspections
  • Proficiency with takeoff and estimating tools (Bluebeam, Plan Swift, or similar)
  • Strong Excel skills for tracking and reporting
  • Familiarity with scheduling software (MS Project, Procore, Buildertrend, or similar)
Professional Skills
  • Highly organized with strong follow-through
  • Clear written and verbal communication
  • Comfortable working independently in an in-office environment
  • Confident coordinating with architects, engineers, vendors, and inspectors
  • Practical problem-solver with construction judgment
Work Arrangement
  • In-office position
  • Regular coordination with field teams, inspectors, vendors, and leadership
How Success Is Measured
  • Projects stay organized with fewer preventable delays
  • Materials are ordered on time and in correct quantities
  • Fewer estimating and scope gaps during execution
