Job Summary

TRIARC Tank is seeking a skilled and proactive Project Coordinator to oversee our open projects, streamline order processing, and ensure timely delivery of customer commitments. This role combines project management expertise with inside sales support, including order entry and quoting, to drive operational success. The ideal candidate will excel in tracking schedules, coordinating with cross-functional teams, and managing projects from inception to fulfillment, while maintaining a sharp focus on customer satisfaction and process optimization.

Key Responsibilities
  • Project Tracking and Management
    :
    Monitor and maintain visibility of all open projects, ensuring accurate tracking of progress, milestones, and potential risks. Proactively identify and resolve issues to keep initiatives on schedule.
  • Order Entry and Inside Sales Support
    :
    Handle order entry as part of inside sales operations, including generating quotes, processing change orders, and aligning orders with production capabilities.
  • Schedule and Timeline Oversight
    :
    Develop and maintain production schedules, record customer timelines, and communicate them effectively to production teams to guarantee on-time fulfillment.
  • Stakeholder Coordination for Larger Projects: Lead end-to-end management of major projects from order placement to delivery, engaging key stakeholders such as customers, engineering, sales, and production to facilitate collaboration and achieve project goals.
  • Customer Service and Issue Resolution: Address STT customer complaints, manage warranty claims, and foster positive relationships to enhance satisfaction and retention.
  • Sales and Reporting: Compile, analyze, and prepare sales reports; support forecasting efforts and update Gemba boards to provide actionable insights for decision-making.
  • Freight, Invoicing, and Compliance: Review, approve, and enter freight invoices, and shipping releases, ensuring accuracy, compliance with contracts, and alignment with company policies.
  • Customer and Proposal Management: Update customer schedules, review contractual terms and proposals, and coordinate delivery planning to meet expectations efficiently.
Qualifications
  • Proven experience in project management, operations, or a similar role, with a track record of successfully managing multiple projects in a dynamic environment.
  • Strong organizational and multitasking skills, with the ability to prioritize tasks and adapt to changing priorities.
  • Excellent written and verbal communication skills for effective stakeholder interaction.
  • Proficiency in MS Office Suite and ERP systems (D365 preferred); experience with project management tools like Microsoft Project or Asana is a plus.
  • Analytical mindset for generating reports, forecasting, and identifying process improvements.
  • Keen attention to detail and commitment to operational accuracy.
Preferred Qualifications
  • Experience in manufacturing, supply chain, logistics, or related industry.
  • Familiarity with project management methodologies (Agile, PMP principles).
  • Ability to thrive in a cross-functional, fast-paced team setting.
  • Bilingual in Spanish and English.
