As our operations continue to expand, we are seeking a reliable and detail-oriented Staff Coordinator Assistant to support workforce scheduling, guard communication, and daily operational coordination.

Role Overview

The Staff Coordinator Assistant supports the Staff Coordinator in ensuring all client sites remain properly staffed and operational needs are met. This role assists with scheduling, guard communication, and maintaining staffing records. The position is essential for keeping operations organized and ensuring smooth coordination between management and field personnel.

Key Responsibilities
  • Coordinate employee travel logistics, including hotels, flights, and accommodations when required
  • Ensure all employees complete onboarding tasks in Connecteam and submit payment forms prior to assignment
  • Track attendance, lateness, and call-offs; arrange replacements to prevent service disruptions
  • Update and maintain daily guard schedules and staffing rosters
  • Contact guards to confirm shifts, assignments, and deployment details
  • Communicate schedule updates and site instructions to field personnel
  • Maintain accurate guard contact lists, availability records, and assignment details
  • Upload and organize daily logs, reports, and time-stamped documentation from field staff
  • Support the Staff Coordinator with staffing reports and operational documentation
  • Ensure all posts remain fully staffed and operational
  • Provide timely updates to management regarding staffing issues, schedule changes, or operational concerns
  • Visit job sites when required to assist with coordinating guard deployment and ensure smooth operational setup
Qualifications
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication
  • Ability to perform well in fast-paced, on-call environments
  • Experience with scheduling or workforce management systems (Connecteam preferred)
  • Prior experience in security, staffing, logistics, or operations coordination is a plus
