Administrative Assistant - Asset & Wealth Management

Location: 2001 Ross Avenue, Dallas, TX 75201
Duration: 12 months (Contingent)
Pay Rate: $29/hr

Overview:

We are seeking a professional Administrative Assistant to provide high-quality, proactive support within a fast-paced, team-oriented environment. This role partners closely with business leaders, executives, and fellow administrative staff to ensure seamless calendar management, meeting coordination, travel logistics, and day-to-day operational support while maintaining discretion and professionalism.

Key Responsibilities:

Administrative & Business Support
  • Provide day-to-day administrative support, including filing, scanning, time entry, invoicing, and ad hoc projects.
  • Serve as a trusted partner for multiple executives and their teams.
Calendar, Meetings & Communications
  • Manage dynamic and complex calendars across multiple time zones.
  • Coordinate meetings, conference calls, and video conferences.
  • Act as primary contact for scheduling communications and ensure professional interactions with internal and external stakeholders.
Travel & Expenses
  • Arrange domestic and international travel, including flights, accommodations, ground transportation, and visas.
  • Prepare and submit expense reports using approved platforms.
Compliance & Confidentiality
  • Handle sensitive information with discretion and sound judgment.
  • Adhere to company policies and compliance requirements.
Required Skills & Qualifications:
  • Demonstrated experience supporting executives or senior professionals, preferably in financial services, corporate, or government settings.
  • Strong interpersonal, written, and verbal communication skills.
  • Ability to prioritize competing tasks in a fast-paced, high-volume environment.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and Zoom.
  • Familiarity with expense management tools (e.g., SAP Concur).
  • Professionalism, integrity, and discretion with confidential information.
  • Highly organized, proactive, and adaptable team player.
Preferred Qualifications:
  • Experience in wealth management, asset management, or financial services.
  • Exposure to global administrative support and multi-time zone coordination.
  • Agile and adaptable to shifting priorities.
Work Environment:
  • Fast-paced corporate environment with collaboration across teams.
  • High degree of autonomy, requiring proactive and independent work.
