Pay Rate: $29/hr
Overview:
We are seeking a professional Administrative Assistant to provide high-quality, proactive support within a fast-paced, team-oriented environment. This role partners closely with business leaders, executives, and fellow administrative staff to ensure seamless calendar management, meeting coordination, travel logistics, and day-to-day operational support while maintaining discretion and professionalism.
Key Responsibilities:
Administrative & Business Support
- Provide day-to-day administrative support, including filing, scanning, time entry, invoicing, and ad hoc projects.
- Serve as a trusted partner for multiple executives and their teams.
- Manage dynamic and complex calendars across multiple time zones.
- Coordinate meetings, conference calls, and video conferences.
- Act as primary contact for scheduling communications and ensure professional interactions with internal and external stakeholders.
- Arrange domestic and international travel, including flights, accommodations, ground transportation, and visas.
- Prepare and submit expense reports using approved platforms.
- Handle sensitive information with discretion and sound judgment.
- Adhere to company policies and compliance requirements.
- Demonstrated experience supporting executives or senior professionals, preferably in financial services, corporate, or government settings.
- Strong interpersonal, written, and verbal communication skills.
- Ability to prioritize competing tasks in a fast-paced, high-volume environment.
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and Zoom.
- Familiarity with expense management tools (e.g., SAP Concur).
- Professionalism, integrity, and discretion with confidential information.
- Highly organized, proactive, and adaptable team player.
- Experience in wealth management, asset management, or financial services.
- Exposure to global administrative support and multi-time zone coordination.
- Agile and adaptable to shifting priorities.
- Fast-paced corporate environment with collaboration across teams.
- High degree of autonomy, requiring proactive and independent work.
