The Executive Administrative Assistant provides administrative support specifically to an executive. They have in-depth knowledge of company operations, policies, and procedures. The responsibilities include collecting and preparing information for use in discussions/meetings of executive staff and outside individuals. The assistant prepares presentation materials for board of director or investor meetings and makes high-level contacts of a sensitive nature inside and outside the company.
This high-level position requires a strategic thinker with impeccable discretion, superior organizational skills, and the ability to anticipate needs before they arise. The ideal candidate is a consummate professional, adept at managing complex situations and interfacing with all levels within the organization.
Key Responsibilities- Serve as the primary point of contact for internal and external communications on behalf of the executive
- Manage a complex and dynamic calendar, including prioritizing critical meetings and engagements
- Coordinate domestic and international travel, ensuring flawless execution
- Prepare and edit correspondence, presentations, and reports
- Organize meetings, employee celebrations, and strategic planning sessions
- Manage confidential and sensitive information with the utmost discretion
- Oversee special projects and initiatives as needed
- Act as a liaison between the executive and other C‑suite members, and key stakeholders
- Coordinate office area and maintain a professional working environment
- Plan and executive events and meetings for leadership team
- Anticipate the executive's needs and proactively resolve potential issues
