Office Administrator/ Coordinator
Newmark is seeking a highly organized and detail-oriented Transaction Services Coordinator to support a large national retail brokerage team. This role is essential to the deal-booking lifecycle, ensuring transactions move efficiently from pipeline to revenue recognition. The ideal candidate thrives in a fast-paced environment, communicates proactively, and brings strong process discipline to a high-volume transaction workflow.
ResponsibilitiesPipeline & Transaction Coordination
Track and maintain the team’s active deal pipeline, ensuring accuracy and timely updates.
Monitor transaction milestones and proactively remind brokers to obtain required documentation at appropriate stages.
Prepare templated agreements and coordinate execution among local brokers, clients, and brokers of record.
Coordinate transaction pipeline updates and submit monthly forecast reports to the Operations Manager.
Deal Booking & Revenue Processing
Upon transaction close (lease execution or sale closing), enter deal information into Newmark’s Revenue Management System (RMS) within 7 business days.
Obtain and transmit invoices within 48 hours of submission.
Partner with revenue processors to secure final documentation approvals for timely revenue recognition.
Work closely with Accounts Receivable to support timely collection of outstanding receivables, including preparing and transmitting invoices for second-installment payments.
Documentation & Compliance
Ensure all required transaction documentation is collected, organized, and stored in accordance with company standards.
Coordinate signatures, approvals, and compliance checks across internal and external stakeholders.
Coordinate with Newmark legal for approval of outside broker/client agreements.
Maintain accurate records and audit-ready files for all assigned transactions.
Team Support & Additional Duties
Provide administrative and operational support to the retail brokerage team as needed.
Assist with special projects, reporting, and process improvements as requested.
Serve as a reliable point of contact for brokers, clients, and internal departments regarding transaction status and documentation needs.
Qualifications- Experience in commercial real estate, brokerage operations, or a transaction-heavy administrative role preferred.
- Strong organizational skills with the ability to manage multiple deadlines simultaneously.
- Excellent written and verbal communication skills.
- High proficiency with Microsoft Office Suite; experience with CRM or revenue management systems a plus.
- Detail-oriented, proactive, and comfortable working with a wide range of stakeholders.
