Carrington Coleman Sloman & Blumenthal, LLP (CCSB) is a Dallas-based law firm known for its commitment to excellence, collaboration, and exceptional client service. We are seeking a skilled and motivated Legal Administrative Assistant to join our team. This role provides direct support to attorneys and contributes to the efficient and professional operation of the firm.

Position Summary

The Legal Administrative Assistant plays a critical role in supporting attorneys through high-quality administrative, technical, and client service work. The ideal candidate is detail-oriented, highly organized, proactive, and able to thrive in a fast-paced environment. This position requires strong technical skills, sound judgment, and the ability to manage multiple priorities while maintaining confidentiality and professionalism.

Key Responsibilities:

Document Preparation and Management
  • Prepare, revise, and format complex legal documents using advanced Word features including styles, tables, cross-references, table of contents, and table of authorities.
  • Draft correspondence, memoranda, and standard legal documents from written or verbal instructions.
  • Assist with filings, closings, notebooks, exhibits, and other materials.
  • Transcribe dictation and handwritten notes accurately using proper legal terminology.
  • Proofread documents for grammar, punctuation, accuracy, and consistency.
  • Organize and maintain electronic and physical client files, including opening new matters, conflict checks, and preparing files for closure.
Administrative Support
  • Manage attorney calendars, deadlines, and reminders.
  • Coordinate meetings, conference calls, and video conferences, including materials and logistics.
  • Handle time entry, billing memos, reimbursements, and expense reports; ensure timely submission for all assigned timekeepers.
  • Review and route incoming mail; process outgoing mail in accordance with firm guidelines.
  • Answer, screen, and route telephone calls promptly and professionally.
  • Assist with travel arrangements and preparation of materials for presentations or publications.
  • Provide overflow support to attorneys, paralegals, and other team members.
Client Service
  • Greet clients and visitors with professionalism and courtesy.
  • Prepare client meeting materials, update contact lists, and assist with general client inquiries.
  • Maintain confidentiality of all attorney-client and firm information.
  • Communicate effectively with attorneys, staff, clients, and external parties.
Technology and Software
  • Use Microsoft Word, Outlook, Excel, PowerPoint, iManage, Workshare Compare, Innova, Best Authority, iTimekeep, and other legal software.
  • Participate in in-house training to maintain and improve technical proficiency.
Professional Expectations
  • Demonstrate strong organization, prioritization, and follow-through.

  • Exhibit a positive, team-oriented attitude and a willingness to assist others.
  • Adhere to firm policies and procedures.

Qualifications:

Education and Experience
  • High school diploma or equivalent required; additional education preferred.
  • Two to four years of legal administrative experience in a law firm setting preferred.
Skills and Abilities
  • Proficiency in Microsoft Office and legal software; skills testing may be required.
  • Ability to produce and format complex legal documents accurately.
  • Typing speed of at least 70 words per minute with a high degree of accuracy.
  • Strong written and verbal communication skills.
  • Excellent proofreading and attention to detail.
  • Ability to manage competing priorities in a fast-paced environment.
  • Strong interpersonal skills with the ability to communicate tactfully and professionally.
