About The Role
The Administrative Assistant provides high-level administrative support to ensure efficient day-to-day office operations to the Managing Director. This role requires strong organizational skills, attention to detail, discretion, and the ability to manage multiple priorities in a fast-paced environment. The Administrative Assistant serves as a key point of contact for internal staff, members/clients, and external partners.
What You'll Do- Executive Support:
Manage complex calendars, scheduling, and daily priorities for senior leadership - Coordinate internal and external meetings, including preparation of agendas and materials
- Draft, edit, and format correspondence, reports, and presentations
- Screen and prioritize communications, inquiries, and requests
- Track action items, deadlines, and follow-ups on behalf of leadership
- Arrange travel, itineraries, and logistics as needed
- Serve as a primary point of contact between leadership, staff, members/clients, and external partners
- Maintain professionalism and confidentiality in all interactions
- Assist with internal communications and leadership messaging
- Operational & Administrative Coordination:
Maintain organized filing systems, records, and documentation - Assist with invoice processing, expense reporting, and administrative tracking
- Support cross-departmental initiatives and special projects
- Event & Meeting Support:
Coordinate logistics for meetings, events, and leadership functions - Assist with hospitality and member/client-facing activities as needed
- 2+ years of administrative experience supporting executives or senior leadership
- Exceptional organizational, time management, and multitasking abilities
- Strong written and verbal communication skills
- High level of discretion, professionalism, and sound judgment
- Proficiency in Microsoft Office Suite and scheduling platforms
- Ability to work independently and anticipate needs in a dynamic environment
The pay range for this role is:
55,000 - 65,000 USD per year (Dallas, TX)
