About The Role

The Administrative Assistant provides high-level administrative support to ensure efficient day-to-day office operations to the Managing Director. This role requires strong organizational skills, attention to detail, discretion, and the ability to manage multiple priorities in a fast-paced environment. The Administrative Assistant serves as a key point of contact for internal staff, members/clients, and external partners.

What You'll Do
  • Executive Support:
    Manage complex calendars, scheduling, and daily priorities for senior leadership
  • Coordinate internal and external meetings, including preparation of agendas and materials
  • Draft, edit, and format correspondence, reports, and presentations
  • Screen and prioritize communications, inquiries, and requests
  • Track action items, deadlines, and follow-ups on behalf of leadership
  • Arrange travel, itineraries, and logistics as needed
  • Serve as a primary point of contact between leadership, staff, members/clients, and external partners
  • Maintain professionalism and confidentiality in all interactions
  • Assist with internal communications and leadership messaging
  • Operational & Administrative Coordination:
    Maintain organized filing systems, records, and documentation
  • Assist with invoice processing, expense reporting, and administrative tracking
  • Support cross-departmental initiatives and special projects
  • Event & Meeting Support:
    Coordinate logistics for meetings, events, and leadership functions
  • Assist with hospitality and member/client-facing activities as needed
Qualifications
  • 2+ years of administrative experience supporting executives or senior leadership
  • Exceptional organizational, time management, and multitasking abilities
  • Strong written and verbal communication skills
  • High level of discretion, professionalism, and sound judgment
  • Proficiency in Microsoft Office Suite and scheduling platforms
  • Ability to work independently and anticipate needs in a dynamic environment

The pay range for this role is:

55,000 - 65,000 USD per year (Dallas, TX)
