The Risk Management Insurance Administrator provides administrative and operational support to the Risk Management and Project Teams by coordinating insurance documentation, certificates, bonding, invoicing, and claims tracking. This role focuses on accurate processing, recordkeeping, and follow-up to ensure project insurance requirements are met in a timely and compliant manner.
Key Responsibilities Insurance & Bond Administration- Collect required project and contract information from project teams.
- Prepare and submit insurance and bond requests to brokers and sureties.
- Request, review, issue, and track Certificates of Insurance and Surety Bonds.
- Maintain organized records of policies, certificates, endorsements, and bonds.
- Update insurance documentation when project scope, value, or duration changes.
- Coordinate submission of project information for insurance and bond quotes.
- Track quote requests and required return dates.
- Distribute approved quotes to project teams.
- Assist with adjustments related to contract changes and extensions.
- Receive, review, and route insurance and bond invoices for payment.
- Verify invoice accuracy and proper project coding.
- Follow up with Finance and project teams to ensure timely payment.
- Maintain billing and payment tracking logs.
- Maintain records of all reported claims.
- Track monthly loss runs and carrier reports.
- Notify Finance of significant reserve changes.
- Coordinate deductible billings and payment documentation.
- Assist project teams with claim documentation and submission.
- Maintain accurate electronic and paper insurance files.
- Track project exposures including payroll, revenue, and property values.
- Assist with audits, renewals, and carrier reporting.
- Prepare basic reports and summaries as requested.
- Respond to internal and external insurance-related inquiries.
- Schedule meetings and coordinate documentation with brokers and carriers.
- Support departmental projects and process improvements.
- High school diploma or equivalent required.
- Associate degree or coursework in business, insurance, or construction administration preferred but not required.
- 2-4 years of administrative experience in construction, insurance, risk management, or related fields.
- Experience supporting project documentation, billing, or compliance processes preferred.
- Prior experience in civil, infrastructure, or heavy construction environments is a plus.
- Proficiency in Microsoft Office, especially Excel, Word, and Outlook.
- Ability to manage databases, trackers, and shared document systems.
- Experience with insurance tracking systems or RMIS is helpful but not required.
- Strong attention to detail and accuracy.
- Excellent organizational and time-management skills.
- Ability to handle multiple priorities and deadlines.
- Clear written and verbal communication skills.
- Strong follow-up and customer-service mindset.
- Ability to work independently and as part of a team.
- High level of discretion and professionalism.
- Primarily office-based with limited travel.
- Standard business hours with occasional peak periods during renewals or audits.
