SummaryAdministrative role that performs routine work under immediate supervision. Generally provides office related support - mail distribution, correspondence, filing, etc. Administers programs, processes, and projects. This position will also assist with budgets, travel, record keeping, expense reporting, purchasing, certificate of insurance support, etc. as needed.
This position will support our Risk Management team. It is eligible to work a hybrid schedule, generally requiring work in-office and/or show-site 2-3 days per week. This position is based out of our North Dallas office in Dallas, TX.
Essential Duties & Responsibilities- Maintains highly confidential and highly sensitive information and files, correspondence and records.
- Prepares routine and complex correspondence, reports, and presentations using the most advanced office technology including word processing, graphics, and spreadsheets.
- Ensures projects are completed timely and accurately. Evaluates and reports progress to team members.
- Researches, analyzes, and compiles data and figures for presentations.
- Maintains department schedules, calendars, and appointments and coordinates arrangements for meetings, conferences and travel.
- Prepares agendas, reserves and prepares facilities, and records meeting minutes.
- Distributes all incoming and prepares all outgoing mail and correspondence including email, fax, memorandums, and letters.
- Organizes and expedites work as required. Identifies administrative challenges and recommends process improvements.
- Maintain files and records related to security incidents at Freeman.
- Keep and maintain expense records, balance and reconcile each month. Code all charges to appropriate General Ledger or Direct Job Number.
- Backup for updating Risk and Safety Freeway Sharepoint site.
- Update, print and ship crisis wallet cards, badges, business cards and access cards as necessary.
- Keep meeting notes, maintain follow up meeting agenda and action items.
- Maintain and manage objectives dashboard of prioritized focus areas.
- Manage team Box folders and access.
- Oversee timekeeping and report Paid Time Off.
- Performs other duties as assigned.
- High School Diploma or Equivalent is required, Bachelor's Degree from an accredited four year college or university or a Technical Degree is preferred.
- Working knowledge of all Microsoft Office Software applications.
- Demonstrated customer service skills.
- Proven Organizational Skills.
