About

The Role

Welltower is currently seeking an Administrative Assistant for our Dallas office located in Preston Commons. This role will provide high-level administrative support to one or more C-suite executives and will be accountable for a wide range of responsibilities. The successful candidate will be highly organized, detail-oriented, and a team player capable of managing a wide range of tasks with discretion and professionalism.



Key Responsibilities

  • Manage and maintain senior leadership calendar, including scheduling meetings, appointments, and travel arrangements.
  • Coordinate and prioritize incoming requests and correspondence, ensuring timely responses and follow-up as needed.
  • Prepare and edit correspondence, presentations, and reports on behalf of the executive.
  • Conduct research and compile information for various projects and initiatives as assigned.
  • Act as a liaison between the executive and internal/external stakeholders, including senior management, clients, and partners.
  • Attend meetings, take minutes, and follow up on action items as necessary.
  • Handle confidential and sensitive information with discretion and confidentiality.
  • Manage expense reports, invoices, and other financial documentation.
  • Provide general administrative support, including answering phones, filing, and office organization.
  • Regular Evening and Weekend On-Call Support:
    The ideal candidate should be willing to provide on-call support during evenings and weekends as needed. This may include responding to urgent emails, phone calls, or other communication from the executive, handling last-minute scheduling changes, and providing assistance with time-sensitive tasks outside of standard business hours.

TRAVEL

Minimal travel is expected for this position.



Minimum Requirements

  • Bachelor's degree preferred, or equivalent work experience.
  • Proven experience as a senior leadership assistant or similar role supporting C-level executives.
  • Must be willing to provide on-call support during evenings and weekends as needed.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Excellent written and verbal communication skills, with an elevated level of professionalism and attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Ability to exercise discretion and maintain confidentiality with sensitive information.
  • Strong interpersonal skills and the ability to build relationships with internal and external stakeholders.
  • Flexibility and adaptability to changing priorities and responsibilities.
  • Experience working in a publicly traded company or corporate environment is a plus.
