Role Overview

The Executive Administrative Consultant serves as a critical point of contact and coordination for Economic Development stakeholders. This role is designed for a high-functioning administrative professional who excels at managing the "how" and “who” of tasks and projects. You will ensure that schedules are seamless, documentation is precise, and external relationships are maintained with the utmost professionalism.

Key Responsibilities 1. Calendar & Meeting Management
  • Precision Scheduling: Manage heavy internal and external calendaring using Google Workspace (Google Meet), navigating multiple time zones and conflicting priorities.
  • Logistics Coordination: Secure physical meeting rooms for in-person events and manage day-of logistics for virtual and in-person gatherings.
  • Occasional High-Profile Engagement: Act as a liaison when communicating with high-profile figures and executives.
2. Documentation & Project Coordination
  • Fast-Paced Transcription: Attend meetings to capture detailed, accurate notes and distill them into actionable items and next steps.
  • Workback Schedules: Develop and maintain project timelines, ensuring all contributors are aware of upcoming deadlines.
  • Updating Documents: Proactively update project-related documents to keep all internal and external parties informed and synchronized.
  • Occasional Slide Deck Formatting: Perform light formatting and cleanup of dense slide decks to ensure a polished professional aesthetic for presentations.
3. Event & Vendor Relations
  • Vendor Outreach: Act as the primary point of contact for external service providers (e.g., photographers, venues, catering).
  • Event Production Assistance: Work alongside partners such as Marketing and Legal to bring an event to life.

Skills & Qualifications
  • Administrative

    Experience:

    Proficiency in calendaring, scheduling, and office suite tools (specifically Google Workspace).
  • Project Tracking: Experience building and maintaining workback schedules and project trackers.
  • Exceptional Note-Taking: The ability to synthesize information quickly in high-pressure, fast-paced environments.

Professional Presence: Comfortable speaking and presenting oneself in high-visibility virtual meetings with senior leadership.
