Producers Midstream is seeking a highly skilled and organized Executive Assistant to join our team in Dallas, TX
.

The Executive Assistant will provide comprehensive support to several executives within the engineering team. This role involves managing administrative tasks, coordinating projects, attending meetings to assist with follow-up, and preparing presentation packets. The ideal candidate will have a proven ability to handle multiple priorities efficiently, and a strong commitment to delivering high-quality work, all with a calm demeanor.

Note:

This role is on-site in our Dallas office and is not remote.

Key Responsibilities
  • Provides high-level administrative support and assistance to the Engineering Executive Team.
  • Schedule meetings and coordinate complex travel arrangements, including preparing itineraries and ensuring seamless logistics.
  • Assist with the preparation and completion of internal governance documents.
  • Attend meetings as needed to assist with capturing key points, action items, and decisions, and ensuring timely distribution of minutes.
  • Organize and maintain electronic files, documents, and correspondence, ensuring confidentiality and accessibility.
  • Draft, edit, and proofread documents, emails, and reports on behalf of the Engineering Executive Team.
  • Assist in preparing expense reports for engineering executives in compliance with company policies.
  • Facilitate effective communication between executives and internal/external stakeholders by managing follow-ups and ensuring deliverables are met.
  • Assist Office Manager as needed.
  • Proactively identify and implement process improvements to enhance administrative efficiency.
  • Arrange travel and accommodation for the engineering executive team members.
  • Notarize documents as required, ensuring compliance with all legal and procedural standards. (Notary designation can be obtained after hiring if not in possession currently.)
  • Other duties as assigned.
Qualifications
  • Fit with the Company Culture and proven ability to thrive in a positive, affirming environment.
  • An associate degree or bachelor’s degree in a relevant field is preferred, demonstrating a strong foundation in organizational and administrative skills or demonstrated professional experience.
  • A minimum of 3 years of experience as an Executive Assistant, Administrative Assistant, or Paralegal; experience supporting multiple executives considered a plus. Oil and gas industry experience is helpful.
  • Expertise in Microsoft Outlook with knowledge and best practices using delegated access to assist in the management of engineering executive’s mailboxes and calendars.
  • Proficiency in additional Microsoft Office applications, including Word and SharePoint, to effectively manage documents and recordkeeping.
  • Communication skills that engage internal and external people with pleasant, professional and calm engagement consistent with company culture.
  • Able to professionally engage internal and external contacts as a company representative, understanding the significance of the impressions made are significant and critically important.
  • Exceptional attention to detail, ensuring accuracy and quality in all deliverables.
  • Outstanding organizational skills, with the ability to prioritize tasks and manage time efficiently in a dynamic, fast-paced environment.
  • Strong verbal and written communication skills, enabling clear and professional interactions across all levels of the organization. A demonstrated ability to navigate both the office staff portion of the organization and the field staff portion.
  • Demonstrated ability to work independently, take initiative, and maintain productivity with minimal supervision.
  • A high degree of professionalism, discretion, and integrity, especially when handling sensitive and confidential information.
  • Familiarity with the oil and gas or energy industry is a plus but not required.
