Practice Support Team Specialist (Legal Administrative Support)
Adaptive Solutions Group is a premier provider of information technology personnel. We provide a variety of technical professionals available for contract, contract to hire, or direct placement positions to companies in and around the St. Louis and Kansas City areas.
We are currently seeking a Practice Support Team Specialist to join a client team.
Responsibilities- Provide administrative and operational support to assigned professionals within a team based environment.
- Coordinate workflow and prioritize tasks across multiple projects and deadlines.
- Prepare, revise, and proofread documents with a high level of accuracy and attention to detail.
- Assist with scheduling, calendar coordination, meeting logistics, and travel arrangements.
- Support billing and financial administrative activities including preparation of correspondence and tracking information.
- Process new client or project intake, including required documentation and system setup.
- Manage incoming and outgoing communications, including mail, electronic correspondence, and file distribution.
- Maintain contacts, records, and documentation in accordance with established procedures.
- Utilize workflow management tools to track assignments and ensure timely completion.
- Collaborate with team members to balance workloads and provide backup support as needed.
- Demonstrate professionalism and discretion when handling confidential information.
- Operate standard office equipment and software tools to support daily operations.
- Perform additional duties as assigned.
- High school diploma or equivalent.
- Three to five years of experience in an administrative, legal support, or professional services support role.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Ability to provide a high level of internal and external customer service.
- Proficiency in Microsoft Office applications including Word, Outlook, Excel, and PowerPoint.
- Proficiency with PDF editing tools.
- Ability to work independently and collaboratively within a team environment.
- Minimum typing speed of 60 words per minute.
- Authorized to work in the United States without current or future sponsorship requirements.
- Associate’s degree or higher.
- Experience supporting litigation or document intensive professional services teams.
- Prior transcription or executive level administrative support experience.
- Experience managing complex calendars and high volume workflows.
- Strong process management and information organization skills.
- Familiarity with electronic filing systems and document management platforms.
