Practice Support Team Specialist (Legal Administrative Support)

Adaptive Solutions Group is a premier provider of information technology personnel. We provide a variety of technical professionals available for contract, contract to hire, or direct placement positions to companies in and around the St. Louis and Kansas City areas.

We are currently seeking a Practice Support Team Specialist to join a client team.

Responsibilities
  • Provide administrative and operational support to assigned professionals within a team based environment.
  • Coordinate workflow and prioritize tasks across multiple projects and deadlines.
  • Prepare, revise, and proofread documents with a high level of accuracy and attention to detail.
  • Assist with scheduling, calendar coordination, meeting logistics, and travel arrangements.
  • Support billing and financial administrative activities including preparation of correspondence and tracking information.
  • Process new client or project intake, including required documentation and system setup.
  • Manage incoming and outgoing communications, including mail, electronic correspondence, and file distribution.
  • Maintain contacts, records, and documentation in accordance with established procedures.
  • Utilize workflow management tools to track assignments and ensure timely completion.
  • Collaborate with team members to balance workloads and provide backup support as needed.
  • Demonstrate professionalism and discretion when handling confidential information.
  • Operate standard office equipment and software tools to support daily operations.
  • Perform additional duties as assigned.
Required Qualifications
  • High school diploma or equivalent.
  • Three to five years of experience in an administrative, legal support, or professional services support role.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Ability to provide a high level of internal and external customer service.
  • Proficiency in Microsoft Office applications including Word, Outlook, Excel, and PowerPoint.
  • Proficiency with PDF editing tools.
  • Ability to work independently and collaboratively within a team environment.
  • Minimum typing speed of 60 words per minute.
  • Authorized to work in the United States without current or future sponsorship requirements.
Preferred Qualifications
  • Associate’s degree or higher.
  • Experience supporting litigation or document intensive professional services teams.
  • Prior transcription or executive level administrative support experience.
  • Experience managing complex calendars and high volume workflows.
  • Strong process management and information organization skills.
  • Familiarity with electronic filing systems and document management platforms.
