We're looking to add to our admin team for our Uptown Dallas location. The purpose of this position is to assist the retail brokerage team by ensuring the team’s success through keeping things organized, managing the day-to-day work loads, creating and updating marketing materials. Essentially, acting as an executive admin assistant. We are an in office environment 5-days a week, located in Uptown Dallas to encourage learning, growth and collaboration.
Responsibilities(includes but are not limited to):
- Assist and coordinate with the Operations team in Dallas to ensure smooth operations of the office.
- Prepare and organize presentations and/or meeting materials and pitches
- Assist brokers in completing transaction deal forms and submitting for invoicing
- Oversee various administrative tasks including branding, scheduling appointments, and coordinating client meetings
- Create Leasing Flyers using the provided InDesign templates
- Update property site plans for client review and presentation
- Coordinate the handling of broker requests for data and research information
- Prepare, organize, and assemble tour books
- Assist with placing orders for aerials/maps, will need to create and edit aerials when necessary
- Assist with and coordinate email blasts
- Build marketing materials for properties and tenant accounts
- Prepare & organize presentations and/or meeting materials & pitches
- Update and add properties & tenants on website, ensuring that all properties and tenants on website are current and correct
- Pull demo information from ESRI database and organize into excel presentation form
- Design, order and coordinate install of property leasing signs
- Coordinate and book all work related travel & prepare reimbursement requests
- Handle all ICSC Meeting schedules and preparation for team
- 3+ years of administrative experience required
- Adobe Creative Cloud (Photoshop, InDesign) strongly preferred
- Manage the Team’s day-to-day workload
- Ensure team organization and proactivity for team efficiency
- Proficiency with Microsoft Word, Teams, Excel, PowerPoint, CRM/Database Management, Adobe Acrobat, and Outlook
- Expert with Adobe InDesign and Photoshop
- Effective filing and organizational skills
- Willingness to help SHOP Companies in any and all capacities
- Team oriented approach
- Ability to multi-task and operate in a fast-paced environment
- A true interest in all things Retail Real Estate
