JOB SUMMARY

Responsible for managing and overseeing the organization s non-procurement contract processes, consulting internal subject matter experts to ensure compliance with legal and regulatory requirements, maintaining accurate records in a contracts database, and providing training on the non-procurement contract request process to end-users. This job involves administering various non-procurement contract templates from start to finish, including education agreements, IPAs with the Veterans Administration, Epic Care agreements, and Mobile Mammography agreements.

Also, will provide administrative support, effectively communicate with internal stakeholders and counter parties, and handle special projects as needed. Experience with contract administration, working with contracts in a legal, academic, or healthcare setting, or maintaining large volumes of records is preferred.

Initial onboarding and training period will be in person and then will move into a mostly remote schedule of one day per month in office and additional days in office as required.

EXPERIENCE AND EDUCATION

Required

  • Education
    High School Diploma or equivalent or
    Associate's Degree or
    Bachelor's Degree
  • Experience
    4 years administrative experience with High School diploma or equivalent, or
    2 years administrative experience with Associate's degree, or
    No experience required with Bachelor's Degree.

JOB DUTIES

  • Oversee full contract lifecycle for various non-procurement agreements from initial approval to contract execution.
  • Review and approve requests for various non-procurement contract templates.
  • Prepare and draft various contract documents using pre-approved contract templates.
  • Follow up with second parties to ensure agreements are executed in a timely manner.
  • Prepare contracts to be routed for electronic signature.
  • Coordinate with end users and the Contracting team to promptly resolve contract issues.
  • Create and revise second party profiles in the UTSW contract database when necessary.
  • Create and maintain contract records in UTSW3 contract database ensuring that all contract documents are readily accessible.
  • Effectively communicate updates to internal and external stakeholders.
  • Prepare contract termination letters for review by the Contracting team prior to execution.
  • Administer the Contracting team  email inbox and distribute communications among the team as needed.
  • Review contracts to ensure that terms comply with UT Southwestern policies and procedures.
  • Run periodic reports on executed contracts for departments and stakeholders as requested.
  • Compile information and respond to internal and external audit requests.
  • Perform other duties as assigned.
