Position Description (What you will do)
The Development Services Associate reports directly to the Associate Director of Development and ensures the accurate and timely recording of all gifts, pledges, and donor information for the School. This role manages the full lifecycle of gift entry and acknowledgement, maintains data integrity in the donor database, coordinates financial reconciliation with the Business Office, and supports donor stewardship through prompt receipts and personalized acknowledgments.
The position plays a key role in supporting the Development team by ensuring that donor records, reports, and communications are accurate, compliant, and delivered with professionalism.
- Process all types of gifts/pledges (cash, wire, check, credit card, stock/IRA conversions, matching gifts, in‑kind, online donations, etc.) made to The Hockaday School.
- Generate and send timely donor acknowledgments, tax receipts, and stewardship letters
- Work closely with the Hockaday Fund Team on reports of current donations
- Maintain accurate and current database information
- Provide donor services: respond to donor inquiries, maintain giving histories, update records
- Coordinate with Business Office for deposits, reconciliation, and reporting
- Work closely with the Development Information Systems Manager on monthly reports for Business Office
- Ensure supporting documentation of all gifts and donations made to the School for the Business Office and auditors is current and complete
- Collate and code on‑line purchasing reports relating to Alumnae and Benefit activities for the Business Office to post to the General Ledger
- Oversee annual updates on receipt and acknowledgement letters
- Updates gift procedural manual as needed
- Participates in scheduled events sponsored by the Office of Development and External Affairs throughout the year, as requested
- Oversees and maintains supplies for tax receipts and acknowledgment mailings
- Other duties as assigned by the Associate Director of Development or the Director of Development and Strategic Initiatives Other duties as assigned
- A four‑year college degree
- Knowledge of basic budget and bookkeeping procedures
- Proficiency with database software/CRM (e.g. Raiser’s Edge or similar), Microsoft Office (Excel, Word)
- Strong attention to detail, organizational ability, ability to manage multiple tasks under deadlines
- Excellent oral and written communication skills and ability to communicate effectively with staff, faculty, and department heads
- Ability to organize and maintain documentation of gifts, matching gifts, tax receipts, honor/memorial donations; organize documentation to allow for easy access and availability to certain other employees in the Office of Development and External Affairs
- Ability to accurately and efficiently update database records in a timely manner
- Skillfully and tactfully handle sensitive information and maintain confidentiality
- Ability to effectively and appropriately communicate with donors and donor representatives on a regular basis
- Flexibility to adjust and arrange priorities in order to meet deadlines
- Proficiency to work independently and within a team framework
- Commit to refresh, explore, and acquire new skills to improve productivity and competency as the job expands
- Must have the ability to work in a school environment through satisfactory completion of all legally required and School‑required background and screening checks and verifications, including criminal and sex offender background checks.
