Job Description:Addison Group is partnering with one of our clients to hire a highly capable Senior Administrative Assistant to serve as a key operational and administrative support partner within a fast-paced, entrepreneurial office environment. This role is ideal for someone who thrives in hands‑on settings, enjoys variety in their day, and takes ownership of both administrative and operational details.
The ideal candidate is proactive, highly organized, technologically efficient, and comfortable acting as a central point of coordination across the office.
Key Responsibilities:- Provide direct administrative support to senior leadership, assisting with day-to-day priorities and workflow organization.
- Serve as the primary front office contact, professionally answering phones and greeting visitors while managing incoming inquiries.
- Oversee general office operations, including ordering supplies, maintaining organization, and ensuring the office runs smoothly.
- Process a high volume of customer sales orders accurately and efficiently.
- Convert completed sales orders into invoices and ensure proper documentation and filing.
- Monitor purchase order timelines and assist with follow-ups as needed to support order fulfillment.
- Coordinate inventory checks and assist with shipping and logistics processes.
- Handle sensitive information and correspondence with discretion and professionalism.
- Anticipate needs, follow tasks through to completion, and proactively resolve issues before escalation.
- Support leadership by tracking deadlines, providing reminders, and helping prioritize tasks.
- 5+ years of experience in an administrative, office management, or operations support role, preferably in a small or growing organization.
- Prior experience directly supporting a senior leader with scheduling, coordination, and administrative tasks.
- Strong computer proficiency with the ability to work quickly and accurately across multiple systems and platforms.
- Typing and data entry speed of 50+ words per minute with high accuracy.
- Advanced working knowledge of Google Workspace (Docs, Sheets, Drive).
- Ability to quickly learn and navigate business platforms such as order management, shipping, and accounting systems.
- Exceptional attention to detail with the ability to identify and correct errors before they impact operations.
- Independent problem‑solver with a natural curiosity and willingness to figure things out without constant direction.
- Professional presence with strong communication skills and sound business judgment.
- College education preferred.
