Position: Assistant to the Dean-Gary Cook School of Leadership

General Objectives

The Assistant to the Dean in the Gary Cook School of Leadership (CSL) is responsible for assisting the Dean of the CSL in coordinating and implementing school programs and services, as well as helping to promote the mission and activities of the CSL to alumni, donors, prospects, and others.

  • Specific Duties
  • Assist the Dean with various scheduling, correspondence, filing, and other office-related items
  • Help to coordinate the travel and speaking schedule of the Dean
  • Help to coordinate logistics and execution of CSL events
  • Maintain CSL Office Policy and Procedure Manual
  • Maintain CSL timeline and calendars
  • Maintain recruiting materials and office supplies
  • Attend staff meetings, take notes, follow up as needed, and distribute information to staff
  • Provide secretarial and managerial assistance in managing the departmental workflow
  • Oversee office organization and filing system. Manage hardcopy and electronic records
  • Be responsible for coordinating appointments, timelines, calendar dates, and classroom reservations for the CSL
  • Assist with planning and preparation for meetings, training, presentations, travel, and other events
  • Assist with coordinating arrangements and preparation of teaching materials as assigned; maintain course schedules, syllabi, bibliographies and textbook orders for degree programs
  • Maintain personnel files and information; compile instructor evaluations and maintain Professor Evaluation Files for reference
  • Help with processing and orienting full-time and part-time faculty and staff
  • Provide information in a timely manner, as needed, to the various administrative offices on campus using the appropriate procedures and forms
  • Enter and maintain class schedule in template; maintain updated degree plans and course info in share/Leadership folder
  • Assist with Doctoral Enrollment as necessary
  • Assist with Graduate Enrollment as necessary
  • Assist with advising and registration of students as needed
  • Assist with Institute for Global Engagement events as necessary
  • Assist with Center for Global Religious Freedom events as necessary
  • Budget Responsibilities
  • Oversee the CSL budget and make independent decisions regarding the CSL budget in consultation with the Dean
  • Create Requisition s and process invoices as the division is billed
  • Ensure CSL is staying within the budget perimeters
  • Management Responsibilities
  • Assist in the management of student workers within the CSL
  • Make independent decisions regarding scheduling of classrooms and meeting rooms
  • Make independent decisions regarding marketing production in consultation with the Dean
  • Manage phone system and correspondence; process phone calls, faxes, emails, and mailings
  • Supervise, train, and coordinate student worker's and schedule work assignments
  • Maintain copy machine, fax machine, and printers (ordering paper and supplies, clearing jams, reporting monthly department readings)
  • Maintain maintenance and servicing of the office equipment
  • Various responsibilities as assigned by the supervisor
  • Coordinate all onboard and hiring of student workers
  • Marketing Responsibilities
  • Maintain the CSL Website
  • Help with the promotion of CSL events as directed
  • Assist in the management and distribution of all CSL email correspondence
  • Assist in the management and distribution of the CSL annual magazine
  • Assist in the management and distribution of the CSL Journal
  • Assist in the management and distribution of any other CSL-related content
  • Work Schedule

    This is a full-time position with regular office hours between 8:00 a.m.

    - 5:00 p.m., Monday-Friday.

    Work Location

    This position will work on the main campus, located at 3000 Mountain Creek Parkway, Dallas, TX 75211.

    Must be a Christian and a member of a church that holds to Jesus Christ as Lord and Savior, believing in the New and Old Testaments of the Holy Bible.
