Job Description:
The Administrative Assistant/Receptionist serves as the first point of contact for visitors and callers, providing exceptional customer service and administrative support to ensure smooth daily operations. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.
Responsibilities:
Reception & Front Office
* Greet and assist visitors in a professional and friendly manner.
* Answer, screen, and route incoming calls and voicemail messages.
* Receive and coordinate incoming deliveries, ensuring items are properly logged and distributed.
* Manage incoming and outgoing mail, packages, and courier services.
* Maintain a clean, organized, and welcoming reception area.
Office Administrative Support
* Order and maintain office, kitchen, and general supplies, including food and beverages.
* Coordinate food ordering for meetings, events, and internal office needs.
* Support internal meetings and company events, including scheduling and logistics.
* Maintain cleanliness and organization of kitchen and common office areas.
* Manage building maintenance requests, vendor coordination, and conference room reservations
* Oversee shipping, purchasing, and related administrative accounts.
Security, Access & Financial Support
* Coordinate office access badges and serve as a point of contact with building or office security.
* Ensure proper visitor sign-in procedures and office security protocols are followed.
* Assist with administrative financial tasks such as preparing and processing check deposits.
* Handle confidential and sensitive information with discretion and professionalism
Customer Service & Communication
* Respond to internal and external inquiries in a timely and professional manner.
* Provide accurate information and escalate issues as appropriate.
Education and Experience:
* High school diploma or equivalent; associate degree preferred.
* 1-2 years of experience in a receptionist or administrative role.
Skill/ knowledge requirements:
* Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
* Excellent communication and interpersonal skills.
* Strong organizational and multitasking abilities.
