Role Summary
Robot
LAB is looking for a highly organized, detail-driven Sales Administrative Assistant to support our Sales team by managing the day-to-day administrative workflow that keeps deals moving forward. This role is responsible for quote creation, pricing documentation, contract/order form coordination, vendor registration paperwork, and ensuring complete, accurate deal records in our CRM. You’ll also support sales travel logistics and trip coordination tied to meetings, demos, and customer visits.
* This is an In‑Office role. We do not offer remote or hybrid roles.*
Key Responsibilities- Create and revise customer quotes quickly and accurately
- Maintain and use pricing templates; route pricing requests for the appropriate approvals
- Respond to internal requests related to pricing, documentation, and order status
- Prepare order forms and coordinate contracts for signature
- Track contract status and signatures; follow up to ensure timely completion
- Support vendor registration paperwork and required administrative forms
- Ensure deal documentation is complete and accurate in the CRM (quotes, approvals, order forms, contracts, key notes)
- Manage administrative requests from Sales and cross‑functional partners (docs, pricing, status checks)
- Keep organized records and ensure version control for documents and templates
- Partner with Sales and Operations to support clean handoffs and reduce bottlenecks
- Quotes delivered accurately and on time, with clean version control
- Pricing approvals routed correctly with minimal back‑and‑forth
- Contracts and order forms move through signature without delays
- CRM records are consistently complete and audit‑ready
Skills & Qualifications
- 2+ years of experience in sales administration, sales ops support, or a similar coordinator role
- Strong attention to detail and comfort managing multiple priorities in a fast‑moving environment
- Experience creating quotes, working with pricing templates, and routing approvals
- Experience supporting contracts/order forms and tracking signatures
- Comfortable working in a CRM (Salesforce experience is a plus)
- Strong communication skills and follow‑through (you close loops)
- High level of professionalism and discretion with internal and customer‑facing documents
- Experience supporting B2B sales teams, hardware/technology, or services organizations
- Familiarity with document tools (Docu Sign/Adobe Sign), shared drive organization, and templated workflows
