We are looking for dynamic Executive and Administrative Assistants to our growing Real Estate client base. This is a unique opportunity to get in on the ground floor of a growing company and support day-to-day operations or an executive directly. Full-time and part-time positions in remote, hybrid, or in-person environments are available across the U.S.
Duties and ResponsibilitiesThe Executive or Administrative Assistant will be responsible for operational tasks and support.
Specific tasks may include:- Coordinate executive communications, including taking calls, responding to emails, and interfacing with internal staff, clients, and industry partners
- Communicate regularly with the executive(s) to ensure calls and meetings are scheduled and occur and other critical deadlines are met
- Schedule and manage task, travel arrangements and other work-related appointments and meetings, provide reminders as necessary
- Correspond with accountants or bookkeepers on invoices, questions, budget, etc. when needed
- Assist executive(s) in completing critical deliverables, including preparing spreadsheets and documents as needed
- Compile and take notes during meetings and ensuring subsequent action items are added to task management system
- Support internal teams and team members; assist in task management and delegation to other team members
- Operational support could include tasks related to: due diligence, property management, transaction management, investor outreach, and lender outreach
- Minimum of 2 years of experience as an Executive Assistant or administrative support
- Strong organizational and time management skills
- Uphold a strict level of confidentiality
- Exceptional interpersonal and communication skills
- Assumes a flexible, dynamic, and proactive approach to all assigned tasks
- Ability to work with others across various professions
- Maintains an unwavering positive attitude and energy
- Must be a self-starter, critical-thinker, solution-seeker, and problem-solver
- Familiarity with Client Relationship Management (CRM) software and general real estate workflow process a plus
