American Heart Association offers an opportunity for a Project Coordinator, Clinical Studies. This position is full‑time, benefits eligible, grant funded. Current funding will expire on August 1, 2026, with possibility of extension. The role may be home‑based with preferred location in the Eastern Time zone. You will receive training through Heart U, our award‑winning corporate university, and additional resources to support work‑life harmonization.
Responsibilities- Provide personal and administrative support to the Clinical Studies supervisor, including calendar management, scheduling, and meeting logistics.
- Plan, organize, and manage all aspects of meetings—scheduling, logistics, preparation and distribution of materials, minute‑taking, and follow‑up.
- Coordinate and prepare communications for internal and external stakeholders, ensuring consistent and professional messaging.
- Serve as first point of contact for meeting inquiries with the supervisor, prioritizing requests and ensuring appropriate follow‑up.
- Support team on meetings and logistics for virtual and in‑person meetings such as booking rooms or venues, arranging technology, preparing agendas, taking minutes, and evaluating meetings.
- Manage, update, and organize all administrative and project files, records, and documentation; maintain daily and weekly knowledge of ongoing operations.
- Prepare for meetings by compiling agendas, gathering background information, assembling briefing notes, PowerPoint templates, and ensuring all supporting materials are ready.
- Support on‑site meetings, including conferences and high‑level volunteer groups.
- Track project progress using project management tools, monitor deadlines and deliverables, and proactively address any issues.
- Coordinate and manage communications with key stakeholders on behalf of the supervisor and project team, ensuring timely responses.
- Generate and distribute status reports for project teams and leadership on a regular basis.
- Assist with creation and maintenance of resource‑tracking tools, contact distribution lists, and workflow documents.
- Anticipate and manage competing deadlines and priorities for both administrative and project duties, flagging issues and making recommendations.
- Proactively identify and implement enhancements to administrative and project processes for increased efficiency.
- Maintain excellent time‑management and communication skills with internal and external partners to meet project deliverables and deadlines.
- Coordinate with Marketing and Communications teams to promote initiative resources and activities.
- Bachelor's degree in business administration or a related field (preferred).
- Three (3) years of administrative support and/or relevant experience.
- Excellent written and verbal communication skills.
- Strong process‑management, organizational, and problem‑solving skills.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience with database management and other relevant software applications.
- Strong attention to detail, dynamic, and able to multi‑task in a fast‑paced environment.
- Ability to work independently with minimal supervision and as a collaborative team player.
- Experience in health‑related fields (preferred).
- Availability to travel up to 10% for local and overnight stays.
The expected pay range is $41,000 to $55,000, commensurate with experience; geographic differentials may apply.
