General DescriptionWe are seeking a Records Specialist to join our team. This is an exciting opportunity to work in a dynamic and fast‑paced environment and contribute to the growth and success of our Firm. The Records Specialist is responsible for organizing and maintaining firm records, forms, and information.
Key Responsibilities And Essential Job Functions- File computerized indexes and maintain records in the firm's records management system.
- Maintain records systems and procedures to facilitate orderly operation, retention, and disposition of records. May serve as liaison between users and offsite vendors regarding operational issues.
- Coordinate various data clean‑up tasks, including standardizing records classifications.
- Generate reports.
- Assist internal clients with questions or issues related to records management operations.
- Train new staff and conduct periodic training sessions for existing staff on departmental processes and procedures, including providing guidance and technical assistance.
- Manage sensitive and/or confidential documents.
- Assist with departmental coverage as needed.
- Assist Director of Records with annual reviews of Records Management Program.
- Develop departmental procedures as needed.
- Handle special projects and duties as assigned.
- Strong computer and database skills.
- Strong initiative and ability to work independently with minimal direct supervision.
- Ability to multitask and prioritize tasks appropriately.
- Excellent organizational skills.
- Effective oral communication skills, including the ability to interact effectively with firm personnel at all levels with a high degree of professionalism.
- Intermediate keyboarding skills (40 words per minute or greater).
- Bachelor's Degree or equivalent combination of education and experience.
- 3+ years' professional experience in positions requiring the maintenance of administrative and client company records.
- Prior law firm experience helpful.
- Ability to sit or stand for extended periods of time.
- Moderate or advanced keyboard usage.
- Ability to lift heavy boxes at a minimum of thirty pounds.
