Key Responsibilities

  • Manage complex calendars, schedule meetings and coordinate logistics to optimise leaders’ time.
  • Arrange domestic and international travel, including itineraries, visas, accommodation and expense reconciliation.
  • Prepare, proofread and distribute high‑quality correspondence, briefing notes and presentations; ensure timely follow‑up on action items.
  • Plan and support executive meetings and events (agendas, venue/virtual setup, minutes, actions and documentation).
  • Serve as a confidential gatekeeper and primary contact for internal and external stakeholders, screening communications and prioritising requests.
  • Coordinate cross‑functional activities and stakeholders to drive timely delivery of initiatives and decisions.
  • Maintain accurate records, filing systems and document control for sensitive and confidential information.
  • Support budgeting and expense processes for the leadership team, ensuring compliance with policies.
  • Anticipate needs, provide ad‑hoc executive support and problem‑solve to reduce administrative barriers for leaders.
  • Foster positive relationships across the organisation to facilitate collaboration and information flow.
  • Liasing with suppliers on behalf of executives.
  • Monitoring inboxes.
  • Supporting with wider teams.
  • Onboarding new team members (inductions/intros, creating information packs).
