Job Summary

Operations & IT Administrative Assistant

This role provides essential administrative support to the firm’s operations and technology functions. The Operations & IT Administrative Assistant assists with firm financial processes, compliance tracking, and technology initiatives, ensuring accurate recordkeeping and smooth execution of firm projects. The ideal candidate is detail-oriented, exhibits ownership and accountability, and is eager to learn both administrative and IT-related workflows.

Job Details Education & Licenses
  • 2–3+ years in an administrative or support role (public accounting firm experience preferred).
  • Familiarity with software (e.g., Intacct, Nexonia, CCH Axcess, etc.) is a plus.
  • High school diploma or equivalent required.
Major Responsibilities & Duties

Success Metrics / KPIs

  • Timely follow-up on assigned tasks, with progress communicated proactively to managers.
  • Maintains accuracy in AP/expense coding, invoicing, and collections entries.
  • Completes month-end reporting and reconciliations accurately within established timelines.
  • Tracks state licensing and CPE requirements with no lapses or compliance issues.
  • Provides clear and effective assistance during software implementations and training sessions.
  • Adapts quickly to new systems and workflows, demonstrating reliability in both finance and IT tasks.
  • Positive feedback from Operations and IT leadership gathered via informal quarterly check-ins or annual review.
  • Strong proficiency in Microsoft Office (Word, Excel, Outlook) and Adobe Acrobat.
  • Experience with digital filing and document management systems.
  • Excellent attention to detail and organizational skills.
  • Ability to manage multiple tasks with accuracy and timeliness.
  • Professional, dependable, and able to maintain confidentiality.
  • Strong written and verbal communication skills.
  • Willingness to learn new technologies and support IT-related tasks.

Key Responsibilities:

  • Perform AP/expense coding timely, based on instructions by partners and managers.
  • Accurately prepare WIP application and additional billing invoices according to the monthly calendar.
  • Assist with collections by preparing statements and tracking outstanding balances.
  • Support month-end reporting, including reconciliations in firm management and other systems.

Compliance & Licensing Support

  • Track and maintain state licensing records for the firm and staff.
  • Monitor and log continuing professional education (CPE) hours for compliance.
  • Assist with software implementations, including scheduling, documentation, and user support.
  • Provide training assistance for staff on new software and tools.
  • Support system updates, ensuring proper communication and smooth adoption.

General Operations Support

  • Maintain organized digital and paper records in accordance with firm policies.
  • Collaborate with operations leadership to support ongoing initiatives.
  • Assist in preparing reports, presentations, and other documentation as needed.
  • Additional responsibilities as assigned.
  • Crosstrain in other departments or duties to assist the team during peak business and PTO.
