Job Description

AMO, an Akima company, is looking to hire an Administrative Assistant (executive level) to join an existing team in Dahlgren, VA. This role provides administrative support specifically dedicated to the requirements of the Project Team, Program Office, Department, and Corporate Offices, handling a wide variety of complex, conscientious, and confidential administrative duties. The position is on‑site at the detailed location.

Responsibilities
  • Work independently on requirements with limited supervision.
  • Manage executive office, coordinate actions with executive staff, and maintain accountability for documentation.
  • Collect, analyze, and research data for assigned projects.
  • Prepare briefing material, charts, graphs, and other presentation materials independently.
  • Make administrative decisions and provide completed projects/assignments.
  • Handle correspondence not requiring personal attention of Government managers.
  • Assist in the development and preparation of administrative/staff reports.
  • Perform quality assurance to ensure report completeness.
  • Utilize graphics or desktop publishing software for presentation preparation.
  • Review and summarize reports/documents for Government managers, directing attention to needed actions or concerns.
  • Assist in assignments to management.
  • Provide high‑level customer assistance.
  • Establish and maintain Standard Operating Procedures (SOPs) for administrative duties.
  • May function in a lead role and provide guidance and direction to lower‑level employees in the Program Office or Department.
  • Assist visually impaired, blind, and other disabled Government personnel with clerical, secretarial, and administrative tasks.
  • Assist in completing tasks when accessible software is not available or compatible with current office equipment.
  • Read aloud documents, reports, mail, and other work‑related items, including recording for use by impaired personnel.
  • Describe various illustrative materials such as pictures, charts, drawings, and symbols.
  • Assist with reading and signing hard‑copy documents.
  • Complete electronic training.
  • Track timekeeping entry and approvals.
  • Enter data into automated business applications, including CIPA performance, Personnel Addendum (PA), Honorary Awards, and NSWCDD trackers.
  • Research creative and innovative technological solutions that lead to greater independence.
  • Guide employees' hand to appropriate location on documents to sign/approve or within data systems to electronically sign/approve.
  • Transport impaired employees to meetings and training events utilizing government vehicles.
  • Handle secretarial duties such as filing, taking phone calls, scheduling appointments, and making travel arrangements, while also providing administrative support to executive staff with office management responsibilities including budgeting, personnel records, and payroll.
  • Work independently on projects requiring research and preparation of briefing charts and other presentation materials.
Qualifications
  • Active or current DoD Interim Secret clearance (Active Secret Clearance preferred).
  • Six (6) years of experience creating and maintaining documentation and data management systems, at least four (4) years supporting Federal Government programs.
  • Experience executing and leading tasks associated with mid‑executive level (e.g., SES/Flag Officer, O‑6 military, GS‑15 civilian) and general administrative support.
  • Proficiency in Microsoft Windows & Office (Word, Excel, PowerPoint, Outlook & Access) & Adobe.
  • Ability to type 40 words per minute.
  • Demonstrated ability to work independently and communicate effectively both orally and through formal reports.
  • Demonstrated ability to multi‑task, perform, and communicate professionally, including professional phone etiquette.
  • Proficiency with support functions for meetings, maintaining formal filing systems, scanning, faxing, answering phones, managing multiple calendars, and scheduling appointments.
  • Experience taking notes and converting them into formal meeting minutes.
  • Experience editing formal documentation and reformatting written and electronic draft documents in accordance with specified Government formats.
  • Experience greeting visitors professionally.
  • Experience handling and storing classified or sensitive (e.g., Personally Identifiable Information) materials.
  • Experience providing daily oversight and direction to support teams.
  • Experience training/mentoring subordinate personnel on policies and other duties.
  • Experience in team building and conflict resolution.
