Billing

Representative

Your primary responsibility will be to ensure accurate and timely invoicing to clients or customers for products, services, or contracts. You will have an in-depth understanding of billing procedures and billing software. Working closely with different departments, you will address billing inquiries, resolve discrepancies, and ensure compliance with company policies and industry regulations. You may mentor and provide guidance to other Billing Representatives to support their professional development.

Essential Duties and Responsibilities
  • Manage customer accounts with operational staff, review billing issues, including analyzing receivables, common reasons for rejected claims, and quantifying billing success rate.
  • Ensure all billing transactions are completed and accurately recorded in the accounting system.
  • Generate and process accurate and timely invoices based on contract terms and billing schedules.
  • Verify billing data for completeness, accuracy, and compliance with company policies and guidelines.
  • Ensure adherence to billing regulations, customer contracts, and company policies.
  • Review and reconcile billing transactions to maintain consistency and ensure accuracy in financial processes.
  • Address billing inquiries from customers, internal teams, and stakeholders promptly and professionally.
  • Work with different departments, addressing billing inquiries, reconciling discrepancies, and upholding compliance with company policies and industry regulations.
  • Build and maintain positive relationships with customers, addressing billing inquiries courteously and efficiently.
  • Investigate and resolve billing discrepancies or disputes by collaborating with pertinent departments to facilitate successful payment collection.
  • Identify opportunities to streamline billing processes, pursuing efficiency improvements that enhance financial effectiveness.
  • Collaborate with team members to propose and implement process enhancements.
  • Uphold the accuracy and organization of billing records and related documentation.
  • Record billing-related information systematically in the appropriate systems and databases.
  • Prepare billing reports for management review.
Qualifications
  • 5+ years of experience in billing, accounts receivable, or a related financial role.
  • Strong attention to detail and accuracy in billing operations.
  • Excellent communication and interpersonal skills.
  • Ability to work collaboratively with cross-functional teams.
  • Familiarity with financial regulations and compliance requirements related to billing.
  • Experience with general ledger accounting software (Quick Books Online, Ariba, Open Invoice, etc.).
  • Proficient in Microsoft Office products (Excel, Word, etc.).
  • Ability to handle large volumes.
Education

High school diploma or equivalent. An Associate degree or relevant certification in accounting or finance is a plus.
