Job Description

Smile Avenue Family Dentistry is excited to announce an opening for a Dental Scheduling & Treatment Coordinator. This essential, full-time position plays a pivotal role in the smooth operation of our practice, ensuring optimal scheduling efficiency and directly contributing to patient care coordination. The opportunity is on-site and requires the coordinator to be present at our office; this is not a remote job.

The ideal candidate will act as a crucial link between our patients and the dental services we offer, providing a seamless experience from the first point of contact to the completion of their treatment.

Duties and Responsibilities
  • Proactively fill open chair time to protect daily production goals.
  • Maintain and manage the ASAP list for immediate scheduling needs.
  • Perform outbound calls daily to fill scheduling gaps and optimize productivity.
  • Reappoint and reschedule cancelled appointments promptly to maintain a full calendar.
  • Optimize hygiene and doctor scheduling to maximize clinic efficiency.
  • Reduce no-shows and last-minute cancellations through effective communication strategies.
  • Track and report weekly on production added through proactive outreach efforts.
  • Identify opportunities for same-day production growth by adding restorative or hygiene services when possible.
  • Offer and coordinate same-day appointments for family members of scheduled patients.
  • Advance the scheduling of restorative and hygiene patients to earlier dates when openings occur.
  • Manage reactivation and recovery lists, focusing on overdue hygiene and restorative patients as well as engaging those with incomplete treatments.
  • Present treatment plans and review financial arrangements with patients as needed.
  • Follow up on unscheduled treatment to support case acceptance initiatives.
  • Assist the clinical team when short‑staffed, support front desk overflow, and step in for absent staff when necessary.
  • Support both hygiene and restorative flow during peak clinical operation times.
Requirements
  • Prior dental front office experience is required.
  • A background as an Assistant or Treatment Coordinator is preferred.
  • Strong confidence in handling phone communications and patient interactions.
  • Ability to comfortably discuss treatment options and financial matters with patients.
  • High organizational skills with a goal‑oriented approach to office management.
  • The ideal candidate should be production‑minded and comfortable making outbound calls daily.
  • Resilience to rejection and the ability to remain motivated under pressure.
  • Flexibility to pivot between different roles and tasks without ego.
  • A thriving capacity in growth‑oriented and dynamic environments.
  • Expectation to maintain a minimum of $4,000 per week in scheduled production through outreach efforts.
  • Commitment to contribute to monthly office production goals and maintain high scheduling efficiency.
  • Professional attendance and punctuality are mandatory.
