The Assistant Operations Manager is an individual contributor role that provides professional administrative and operational oversight to the Wellness Centers. Working within the Operations Manager team, this position applies independent judgment and established best practices to coordinate operational activities, support clinic workflows, and contribute to the successful implementation of Wellness Center initiatives. Working closely with the Operations Managers, clinical teams, and operational partners, the Assistant Operations Manager helps ensure efficient, compliant, and well-organized daily operations.
ESSENTIALJOB FUNCTIONS
- Utilizes professional judgment and discretion to ensure effective administrative and operational processes that support clinic operations.
- Manages onboarding logistics and operational set-up for PRN staff, ensuring access, workspace, and resources are established in accordance with organizational guidelines.
- Provides oversight of facility-related needs, including maintenance, equipment, and space readiness and escalating issues. Identifies and recommends solutions, as appropriate.
- Supports and maintains clinic scheduling systems and templates, ensuring accuracy and alignment with operational requirements.
- Assists in monitoring clinic workflows and identifying opportunities to improve efficiency, communication, and service delivery.
- Collaborates with clinical and administrative staff to identify and resolve medical-administrative and operational issues.
- Execute special assignments and tasks (ex., coordination and implementation of health center initiatives, projects, and process improvements).
- Works with vendors, service providers, and internal partners to support operational needs and continuity of services.
- Supports clinic safety, security, and compliance activities, including coordination related to hazardous materials handling and facility protocols.
- Participates in the development, maintenance, and execution of disaster preparedness and emergency response plans.
- Facilitates meetings, trainings, and staff communications as assigned to support operational alignment and information sharing.
- Interprets and applies organizational policies and procedures within the scope of assigned responsibilities.
- Performs additional professional administrative and operational duties as assigned in support of clinic and operations objectives.
- Demonstrated ability to work collaboratively with diverse internal teams and external partners.
- Strong ability to work independently, prioritize work, apply sound judgment, and manage multiple responsibilities in a dynamic environment.
- Comfort adapting to new systems, processes, and technologies as operational needs evolve.
- Project management or project coordination experience preferred.
- Bachelor’s degree or equivalent combination of education and relevant professional experience.
- Minimum of two years of experience in healthcare, hospitality, operations, or a related professional setting.
- Compliance with AC Wellness Occupational Health Policy, including required immunizations.
