Summary

The Product Integrity Team is seeking an experienced and proactive Administrative Assistant to provide comprehensive administrative and operational support to a Senior Director and their teams. This role requires an individual who can influence beyond their immediate team and proactively drive initiatives. The successful candidate will be a collaborative team member, a steward of the organization’s culture, and possess exceptional organizational skills, initiative, and a keen focus on details that produce excellence.

Description

As an Administrative Assistant, you will be a key contributor, extending your influence beyond your immediate team to support broader organizational business objectives.

Responsibilities
  • Executive Support & Calendar Management:
Proactively handle complex calendars for a Senior Director, anticipating scheduling conflicts, prioritizing meetings based on business objectives, and making independent adjustments with minimal guidance.
  • Team Support & Coordination:
Provide comprehensive administrative support to the Senior Director’s combined teams, ensuring smooth operations and efficient workflow.
  • Project & Event Leadership:
Lead and coordinate larger events and projects, such as office moves, seating arrangements, communications and launch events, team building, new‑hire onboarding, and team meetings; lead all logistics, communications, and budget tracking.
  • Cross‑functional

    Collaboration:

Frequently work cross‑functionally as a representative for your organization, collaborating with team members from various departments to influence appropriate courses of action on new or evolving processes.
  • Financial & Purchasing Management:
Independently handle and process purchase orders, invoices, expense reports, and corporate card reconciliations, ensuring compliance and accurate budget tracking.
  • Office & Facilities Coordination:
Oversee conference room management and maintain office common areas, proactively identifying and implementing improvements for efficiency and team experience.
  • Problem Solving & Innovation:
Approach problems with creativity and new ideas, anticipating challenges for upcoming projects and events; identify gaps and propose new methods and techniques to improve best practices, often contributing work outside your primary area of expertise.
Minimum Qualifications
  • 7 years of previous administrative experience supporting one or more senior executives.
  • Expert‑level proficiency with a variety of technologies and software tools—including Apple software like Calendar, eApproval, Keynote, Pages, and Numbers, and collaboration tools like Slack and Quip.
Preferred Qualifications
  • 7‑10+ years of previous related administrative experience, preferably supporting Senior Director or VP‑level leaders in a fast‑paced, high‑tech environment (engineering teams preferred).
  • Demonstrated ability to work autonomously on complex assignments, exercising significant initiative and sound judgment in decision‑making that impacts the team and organization.
  • Exceptional written and verbal communication skills, with the ability to confidently tailor messaging for diverse audiences, present complex information clearly, and effectively communicate the impact of changes.
  • Expert organizational, multitasking, and time‑management skills, adept at prioritizing complex workloads, anticipating needs, and managing multiple projects simultaneously.
  • Consistent track record of cultivating strong team and cross‑functional relationships to create an established network of partners you collaborate with on important discussions and project planning.
  • Technically savvy, with a comprehensive understanding of various Apple tools/applications and a proactive approach to identifying and implementing new methods and technologies to improve processes.
  • Unwavering attention to detail, accuracy, and timeliness, even when handling high‑volume and complex tasks.
  • High level of discretion and professionalism when handling highly confidential information.
