Cumming location Dental Office looking for a candidate with EXCEPTIONAL customer service and communication background immediately.
We are looking for someone who Is willing to learn to be both an assistant and administrator with our dental family. Great opportunity for growth in future. We do require minimum 1-2 years of healthcare/medical/dental professional experience. You will be cross-trained for both front desk and back office roles.
Position Summary: The Dental Front Desk Coordinator is the primary point of contact for patients and plays a critical role in delivering a professional, organized, and patient-centered experience. This position is responsible for scheduling, communication, financial coordination, and administrative accuracy while supporting the clinical team and upholding the practice’s standards of excellence.
This role requires exceptional organization, attention to detail, strong communication skills, and the ability to manage multiple priorities in a fast-paced specialty dental environment.
Key Responsibilities- Patient Experience & Communication: Greet patients warmly and professionally in person and by phone.
- Manage incoming calls, voicemails, emails, and text communications in a timely manner.
- Communicate clearly with patients regarding appointments, procedures, financial policies, and next steps.
- Maintain a calm, professional demeanor at all times, even in high-volume or stressful situations.
- Serve as a patient advocate while upholding practice policies.
- Scheduling & Treatment Coordination: Schedule new patient consultations, follow-ups, and surgical appointments efficiently.
- Maximize provider schedules while minimizing gaps and cancellations.
- Confirm appointments and manage reschedules according to practice policies.
- Accurately document all patient communications in the practice management system.
- Coordinate with clinical staff to ensure readiness for scheduled procedures.
- Financial Coordination: Collect payments at time of service and process transactions accurately.
- Review treatment plans and financial responsibilities with patients.
- Verify insurance benefits and communicate coverage clearly (no fee or treatment changes without provider approval).
- Track outstanding balances and follow up professionally as needed.
- Adhere strictly to office financial protocols—no unauthorized adjustments or payment plans.
- Administrative & Office Duties: Maintain accurate patient records, insurance information, and documentation.
- Manage referral intake and outgoing referral communications.
- Complete daily administrative tasks, reports, and logs accurately and on time.
- Ensure front desk area remains organized, professional, and patient-ready.
- Support office workflows and assist with special projects as assigned.
- Minimum 1–2 years of dental front desk experience (specialty practice preferred).
- Strong working knowledge of dental scheduling and insurance verification.
- Excellent verbal and written communication skills.
- High level of organization and attention to detail.
- Professional demeanor, punctuality, and reliability.
- Ability to follow systems, protocols, and chain of command.
- Experience in periodontics, oral surgery, or implant dentistry.
- Familiarity with dental practice management software (e.g., Open Dental, Dentrix, Eaglesoft).
- Experience coordinating surgical or sedation appointments.
- Bilingual abilities a plus (not required).
- Accuracy in scheduling, documentation, and financial transactions.
- Timely completion of tasks and responsiveness to patients and team members.
- Consistent professionalism in communication and appearance.
- Willingness to learn, accept feedback, and improve continuously.
- Alignment with the practice’s culture of accountability, efficiency, and patient-focused care.
