Overview

Pariseault Builders is seeking a collaborative and detail-oriented Project Administrator for our Finance division. This individual will be responsible for the administrative coordination of project finances, documentation, and communication between accounting, project management, and field teams.

Responsibilities
  • Create new project job number in construction financial software, ensuring coding accuracy and naming consistency.
  • Accurately enter and process subcontractor pay applications and vendor invoices, lien waivers, and lien grids as the initiator in the Accounts Payable workflow.
  • Assist project team with the preparation of the company invoices sent to the client on a timely and consistent cycle. This includes creating draft invoices and scheduling time with applicable APM/PM. Responsible for ensuring that all costs that should be included in the invoice are captured in the construction financial software by reviewing Subcontractor Summary detail and calling subcontractors when bills are missing.
  • Assist project team with the preparation of the necessary invoice backup based on contractual agreement to ensure timely payment to company.
  • Utilize and maintain company established digital filing systems to ensure easy document retrieval and audit readiness.
  • Collect verify and maintain insurance certificates and other compliance materials for vendors and subcontractors.
  • Support onboarding of subcontractors, vendors and customers, confirming required forms and compliance documents are current and valid. Follow up with subcontractors regarding project documents as needed.
  • Ensure documentation completeness and ongoing maintenance following standard operating procedures.
  • Assist in credit card reconciliation process by ensuring all credit card transactions are entered into construction financial software timely. Perform 2x a month minimally.
  • Create efficiencies within role and document such in a standardized format. This may include but is not limited to billing, cost tracking, and reporting workflows.
  • Handle a variety of accounting activities, such as accounts payable and receivable.
Qualifications
  • Associate’s degree in accounting, Finance, Business Administration or equivalent experience
  • 2+ years experience in financial construction administration, project coordination, or a related role.
  • Proficiency with Microsoft Word and Excel.
  • Knowledge of construction financial software and familiarity with project workflows.
  • Strong organizational and multitasking abilities with keen attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to work collaboratively with project teams, subcontractors, and clients.
  • High level of professionalism and discretion with sensitive information.
Working Conditions
  • Primarily office-based with occasional site visits.
  • Standard work hours with flexibility during bidding deadlines.
  • Must be able to sit for extended periods and review large sets of plans and documents.
  • Regularly required to talk or hear.
  • Regularly required to perform fine motor, hand, and finger skills in the use of a keyboard, phone, or writing.
  • Vision abilities required by this job include close vision, peripheral vision, depth perception, and the ability to adjust focus.
  • Frequently required to stand, walk, and reach with arms and/or hands.
  • Occasional job site walking.
  • Occasionally exposed to heat or cold on job site visits.
