Pay Range: $65,000 to $69,000/year

Our Administrative Assistant will be responsible for daily operations of the office, ensuring the efficient functioning of the office through a range of tasks across administrative, financial, and client-relations realms. Responsibilities include but not limited to greeting clients and visitors; office organization and coordinating any vendors; inventory and maintenance of supplies; assisting with administrative billing duties as needed; and collaborating with operational and clinical staff to ensure client and staff needs are met in a timely and efficient manner.
- Opening and/or closing the office – up to 100% in-person role
- Maintaining a clean and inviting environment; office organization
- Mastering use of multiple electronic platforms, including our EMR
- Management of building and building usage
- Management of vendors
- Fielding and directing incoming calls from new and existing clients
- Ordering and management of inventory of all office supplies
- Office equipment and machine maintenance
Mail distribution - Organization and delivery of business/marketing pamphlets
- Making sure office clinician and business licenses and docs are up to date
- Financials: bank deposits, allocating payments
- Actively engage in MCYAF’s work on diversity, equity, and inclusion.
- Other duties necessary to ensure organizational operations, client satisfaction, clinical excellence and the success of MCYAF
- Excellent communication skills
- The ability to multitask, work well under pressure, and adhere to deadlines
- Good judgement and decision making
- Ability to maintain client confidentiality
- Basic budgetary/finance experience
- Any combination of education and experience that would provide the necessary knowledge and abilities listed, typically a Bachelor’s degree in a related field from an accredited college/university.
- Four or more years of experience in related services.
- Physical ability to move packages, furniture, and equipment around
- Experience working with children, youth, and their families
- Experience working in a mental health clinic setting preferred
- Collaborative work with highly skilled operations and clinical teams
