Overview
We are looking to recruit a receptionist supervisor to work with the emergency department successful candidate will need to be available to work over the 7 days a week, days, evenings, nights and weekends shifts will be set on a 4 week rolling rota; however should you wish to apply for this role and have limitations in a working pattern please document this in the supporting statement.
Responsibilities- Book patients into the emergency department and make follow up outpatients appointments where required.
- Act as the first point of contact for dealing with routine enquiries and take action as necessary, liaising with others as appropriate.
- Communicate with staff, patients and/or external organisations using appropriate methods.
- Maintain both mutual and electronic filing systems and databases, as required by the department and trust policies, ensuring all documents are accurately and appropriately archived.
- Maintain an efficient and comprehensive administrative service, including photocopying, completing PDRs, and providing support to the Reception and other team members as requested.
- Utilise relevant Trust IT systems (e.g., ESR, Excel, TEAMS) to ensure all relevant patient data is collected and input accurately in line with Trust guidelines.
- Assist with training new team members in Trust operational systems and department procedures.
- Oversee stationery ordering and other equipment, while monitoring and maintaining stock levels.
- Prioritise daily tasks to achieve timescales set and provide appropriate cover in the absence of other team members.
- Ensure relevant information is captured for overseas/private patients and manage the NHS 111 referral inbox, monitoring it regularly throughout the day.
- Create external referrals for NHS 111 referrals and ensure changes to clinics are administered in a timely and efficient manner.
- Support the Trust values and behaviours in daily work and contribute to a positive team environment.
- Excellent communication skills and a willingness to develop leadership and management capabilities.
- Experience in supervising reception staff and contributing to process improvements.
- Ability to work within a busy Emergency Department environment and collaborate with colleagues across the Trust.
