Overview

The role provides specialised, comprehensive and confidential patient‑centred clinical administration and secretarial support to consultants and their teams, following departmental, Trust and national standards, policies and procedures.
Key Responsibilities- Act as a senior point of contact, managing enquiries promptly, keeping relevant personnel informed and maintaining appropriate records.
- Ensure clinical documentation is up‑to‑date and available for clinical decisions; transcribe, manipulate and distribute correspondence efficiently.
- Organise patient care for the consultant’s team following local and national policy and targets, coordinating with the Booking Centre, Patient Access, Outpatient Access, General Managers, Theatre, Diagnostic and Ward teams to maintain a seamless elective care pathway.
- Maintain an efficient office management system, including managing the consultant’s schedule, leave arrangements, meetings, minutes, correspondence and reports.
- Provide administrative training and support to team members, maintain manual and electronic documentation systems, and ensure office equipment and supplies are stocked.
- Supervise Support Secretaries on administrative activities such as patient bookings, documentation and typing.
- Use hospital systems – IPM, CRRS, Opera, Winscribe and EPR – to manage workload and RTT patient pathways.
- Handle phone Liaison with patients for clinics, theatre bookings and queries, supplying feedback to Consultants and the Admin Manager team on urgent matters.
- Respond to patient complaints and coordinate follow‑up actions with the PALS team and senior management.
