Office Administrator/ Coordinator, Clerical, Education Administration
About the Role
The School of Engineering is seeking a proactive and organised Administrative Assistant to join our Staff Administration Team. This role is extremely varied with no two days being the same and offers you the opportunity to work independently and autonomously from start to finish.
- Own key administrative processes, with a particular focus on recruitment and HR support – including end‑to‑end recruitment for permanent and temporary staff and acting as a liaison for hiring managers, HR and candidates.
- Provide high‑quality administrative support to senior colleagues, including the School’s Research Cluster Leads and Directors of Teaching. This includes servicing Committees, taking minutes, coordinating and attending meetings and supporting key academic events.
- Full‑time role based in the Staff Administration Team, School of Engineering, on the University of Warwick campus in Coventry.
- Hybrid‑working arrangements are currently offered; the successful candidate will be expected to work onsite full‑time for the first 6 months. Thereafter, the post holder will be required to work on campus a minimum of 80% of their time on a team rota, with additional days in the office during busy periods or to cover colleague absence.
- We will consider applications for part‑time or other flexible working arrangements (e.g. job share) despite the position being advertised as full‑time.
You will be a proactive, highly organised and experienced administrator, ideally with experience in Higher Education or HR environments.
- Excellent communication skills and a customer‑centric approach with a commitment to delivering excellent service.
- Experience supporting senior staff, demonstrating influencing skills, assertiveness and a collaborative team approach.
- Ability to work independently, use initiative to solve problems and manage competing priorities under pressure.
- High level of accuracy and attention to detail, with strong time‑management and organisational skills.
- Discretion, diplomacy, tact and empathy when handling confidential and sensitive information and difficult situations.
- Understanding of equality, diversity and inclusion (EDI) issues as they affect recruitment and administration.
- Competitive salary on a grading structure with annual incremental progression.
- Annual leave entitlement of 26 days plus four customary shut‑down days over Christmas and eight statutory bank holidays.
- Generous pension scheme with excellent employer contributions.
- Access to flexible working arrangements and a comprehensive range of learning and development opportunities.
- On‑site childcare facilities.
- Living Wage employer.
