About the Role

The AP/Office Admin role is pivotal in ensuring the smooth financial and administrative operations within the organization. This position primarily focuses on managing accounts payable processes, including invoice processing, payment scheduling, and vendor communication, to maintain accurate and timely financial records. Additionally, the role encompasses a broad range of office administrative duties such as coordinating office activities, managing correspondence, and supporting team members to enhance overall workplace efficiency.

The successful candidate will act as a liaison between various departments and external partners, ensuring compliance with company policies and financial regulations. Ultimately, this role contributes to the organization's operational success by maintaining organized financial documentation and fostering an efficient office environment.

Minimum Qualifications
  • Proven experience in accounts payable or office administration roles.
  • Proficiency with accounting software and Microsoft Office Suite, especially Excel.
  • Strong organizational skills with attention to detail and accuracy.
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
Preferred Qualifications
  • Experience with ERP systems such as SAP, Oracle, or Quick Books.
  • Knowledge of basic accounting principles and financial regulations.
  • Excellent communication skills, both written and verbal.
  • Prior experience working in a corporate office environment.
  • Certification in bookkeeping or office administration is a plus.
Responsibilities
  • Process and verify invoices, expense reports, and payment requests accurately and timely.
  • Communicates with co-workers, management, clients, and others regarding purchases
  • Managing accounts payable using accounting software and other programs such as Bis Track
  • Manage vendor accounts, including setting up new vendors and resolving payment discrepancies
  • Establishing and maintaining relationships with new and existing vendors
  • Maintain organized financial and administrative records, ensuring compliance with company policies and audit requirements.
  • Support internal teams with administrative tasks, including document preparation,data entry, and correspondence management.
Skills

The required skills are utilized daily to ensure accurate financial processing and efficient office management. Proficiency in accounting software and Excel enables the candidate to handle invoice processing, data entry, and financial record-keeping with precision. Strong organizational and multitasking abilities help manage competing priorities such as vendor communications and office supply coordination. Effective communication skills facilitate clear interactions with vendors, colleagues, and management, ensuring smooth workflow and issue resolution.

Preferred skills like ERP system knowledge and bookkeeping certification further enhance the candidate’s capability to streamline processes and contribute to financial compliance and reporting.
