We are a growing residential and commercial painting company based in Costa Mesa, CA, serving clients throughout Orange County and surrounding areas. Our company specializes in high-quality interior and exterior painting services, working with property managers, commercial facilities, and homeowners.

We pride ourselves on professionalism, attention to detail, and strong client communication. As we continue to grow, we are looking for a dependable and organized team member to support daily office operations.

Role Description

This is a full-time, on-site role for an Administrative Assistant (Bilingual – English/Spanish) located in Costa Mesa, CA.

The Administrative Assistant will support daily office operations and assist management with administrative, bookkeeping, and client communication tasks. This role requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced construction service environment.

Key Responsibilities:
  • Answer and manage incoming phone calls (English & Spanish)
  • Communicate with clients, vendors, and subcontractors
  • Schedule appointments, site visits, and project timelines
  • Manage emails and company correspondence
  • Create and maintain organized digital and physical filing systems
  • Assist with invoicing, data entry, and basic bookkeeping using Quick Books
  • Support payroll data entry and job cost tracking
  • Prepare estimates, change orders, and project documentation (Word/Google Docs)
  • Maintain spreadsheets and internal reports (Excel/Google Sheets)
  • Assist management with general administrative support
Qualifications
  • Bilingual (English and Spanish) required
  • Experience with Quick Books (accounts payable/receivable, invoicing, basic reconciliation preferred)
  • Proficiency in Microsoft Office (Word, Excel) or Google Workspace (Docs, Sheets)
  • Excellent organizational and time management abilities
  • Ability to prioritize tasks and manage multiple projects
  • Comfortable working in a construction or service-based environment
  • Ability to handle confidential information with discretion
  • High school diploma required; associate degree preferred (not required)
  • Prior administrative, bookkeeping, or office support experience preferred
  • Experience in construction, contracting, or service industry is a plus
