The Assistant Director of Housing Operations supports the objectives of the Student Development Operations and Auxiliary Services. This position is responsible for overseeing the billing processes for housing and food services, coordinating meal plan services, and assisting with the maintenance of housing facilities and furnishings. The Assistant Director of Housing Operations will collaborate closely with Residence Life (room assignments, room change process, programming initiatives, check-ins/checkouts), Facility Services (maintenance, housekeeping, and guest relations), Conferencing Services (summer housing and guest housing coordination), and the Office of Accounting Operations (student billing for housing and meal plans).
This position will report to the Director of Operations for Student Development.
- Oversee housing assignments, roommate matching, meal plan selections, housing publications, and exemption requests in coordination with the Director of Operations for Student Development.
- Manage accurate billing procedures for housing, meal plans, and room damage charges.
- Maintain and update Star Rez Housing software, including housing applications, reports, room inspections, and meal plans. Serve as the system's super-user.
- Develop and update housing policies, ensuring accurate information in the student handbook, housing publications, and university websites.
- Collaborate with Residence Life, Facility Services, Auxiliary Services, and Campus Operations to maintain residence facilities, furniture, and equipment, including long-term maintenance and renovation planning.
- Oversee the standardization of residence hall furniture and room setups in partnership with appropriate departments.
- Facilitate housing check-ins and check-outs, provide training to Resident Assistants, and coordinate early arrivals for special groups.
- Act as a liaison between Residence Life, Facilities, and Auxiliary Services, submitting and tracking maintenance, housekeeping, and enhancement requests.
- Oversee student meal plan selection and advertisement, including reviewing and approving board dates.
- Administer the fall and spring housing registration processes through Star Rez, collaborating with key stakeholders such as Residence Life and Admissions.
- Partner with the Conferencing and Events to manage summer housing assignments, room allocations, furniture requests, and billing transitions.
- Support student retention and satisfaction through incentive programs.
- Respond to student and parent inquiries regarding residence halls and housing concerns, including customer recovery efforts.
- Communicate relevant housing information to Resident Directors and delegate follow-up as needed.
- Generate and maintain housing reports and records for Resident Directors, the Director of Operations, Auxiliary Services staff, and the Vice President of Student Development.
- Meet regularly with relevant departments such as Residence Life, Auxiliary Services, Facilities, Admissions, and the Director of Operations for Student Development.
- Performs other duties as assigned by the Director of Operations for Student Development.
- Bachelor's degree required, preferably in Student Affairs, Business Administration, or a related field. Master's degree preferred.
- Minimum of two to four years of professional experience in university housing, Residence Life, Student Affairs, or a closely related area.
- Experience with Star Rez Housing Management System preferred.
- Proficiency with office productivity tools (e.g., Microsoft Office) and willingness to learn new software systems.
- Ability to work collaboratively with campus partners, including Residence Life, Facilities, Auxiliary Services, Accounting, and Campus Safety.

This is a full-time position - $70,000-$72,000 (annually). The posted salary range reflects the anticipated hiring scale for the position. Vanguard University also offers a very competitive and generous benefits package.
