Navarro Pecan Company is hiring an Administrative Assistant to support multiple departments across our plant operations—primarily Operations, Shipping, and Receiving. This role is ideal for someone who is highly detail-oriented, comfortable on a computer, and able to adapt as we modernize systems and processes. You'll handle traditional administrative work (documents, data entry, communication, coordination) plus hands-on coordination tasks that help keep product and trucks moving on time.

Key Responsibilities

Administrative Support (Daily Operations)

  • Provide general administrative support to Operations, Shipping, and Receiving teams
  • Enter, update, and maintain accurate records in spreadsheets and/or internal systems
  • Assist with filing, scanning, document control, and basic reporting
  • Answer calls/emails, route requests, and follow up to keep work moving

Shipping / Receiving Coordination

  • Help track inbound and outbound trucks; communicate with internal teams to confirm timing and readiness
  • Support receiving and shipping activities that may include non-standard cargo or special handling requirements
  • Assist with paperwork needed for shipments/receipts (e.g., bills of lading, packing lists, delivery documentation)

Check order status with vendors and carriers as needed

Follow up on delays, missing information, or discrepancies and communicate updates to the right teams

Help ensure critical supplies, materials, and deliveries stay on schedule

  • Learn and help implement updated systems, tools, and procedures as the plant modernizes
  • Assist with organizing data, improving tracking, and standardizing paperwork/workflows
Qualifications /

What Were Looking For
  • Strong attention to detail and accuracy (paperwork and data must be correct)
  • Comfortable using a computer daily (email, spreadsheets, basic data entry, document handling)
  • Adaptable and willing to learn new systems and processes
  • Strong communication skills and follow-through
  • Ability to prioritize tasks in a fast-paced plant environment

Preferred (Not Required)

  • Previous experience in manufacturing, warehousing, shipping/receiving, or logistics
  • Bilingual in English and Spanish (a plus, not required)
Schedule
  • Typically Monday–Friday
  • Workdays are generally 8–10 hours , depending on plant activity and operational needs

This position works in a plant/warehouse setting and may require frequent coordination with dock, warehouse, and operations personnel.
